I live in Lower West Pubnico, Nova Scotia.

Population: small. Coastline: stunning. Distance from Silicon Valley: about as far as you can get.

But right here in Nova Scotia, something remarkable is happening with artificial intelligence.

Not the usual AI hype coming out of Toronto or San Francisco. Real, practical innovation is taking shape on the ground here. As a solopreneur who uses AI every day to run a one-person business, I’ve been paying close attention.

What I’m seeing matters beyond Nova Scotia. This province is quietly building frameworks and approaches the rest of Canada will likely adopt later.

1. We’re Governing AI Without a Federal Law — And Doing It Well

Canada doesn’t have a federal AI law yet. The proposed Artificial Intelligence and Data Act (AIDA) died when Parliament prorogued in January 2025.

While Ottawa sorted itself out, Nova Scotia chose not to wait. The province leaned on its own Digital Code of Practice. A structured framework requiring public technology to be impactful, equitable, and secure by design.

They put this philosophy into action by launching “Scottie”—a public-facing AI chatbot. What makes Scottie fascinating is a deliberate values decision: it is strictly non-generative. To prevent hallucinations, it only pulls pre-verified facts from public government directories.

By making these design choices locally, Nova Scotia’s public sector is quietly writing the micro-governance blueprints that federal legislation will likely mirror someday. We are the lab.

2. Privacy Isn’t an Afterthought Here — It’s Baked In

Most AI applications send your data away to massive centralized servers, leaving you to wonder who actually sees it.

Halifax startupBegin AI, backed by Sandpiper Ventures, is building something entirely different. Their approach relies on edge computing, meaning the machine learning happens directly on your device. Your data never leaves your phone, eliminating the need for a centralized cloud.

They built this model from the ground up to meet Canada’s strict PIPEDA privacy laws. For everyday users, it proves a vital point: the “privacy vs. progress” argument is a false dichotomy. You can have powerful AI without compromising your data.

3. Making AI Green and Equitable

Running large AI models costs massive amounts of energy. While global AI tech giants focus purely on capability, Dalhousie University’s RAISE Lab, led by Dr. Masud Rahman, is focused on Green AI.

The lab studies the energy efficiency of deep learning software and develops optimization tools like CodeGreen to reduce the computational cost of running AI models. This work matters for two reasons:

The Planet: AI’s skyrocketing energy consumption makes sustainable machine learning an environmental necessity.

Equity: Leaner, cheaper AI models lower the barrier to entry for small businesses and solopreneurs who can’t afford enterprise-grade infrastructure.

What This Means for You

The global conversation about AI is rapidly moving past “which tool should I use?” and turning toward deeper questions: What kind of AI do we want to build? How do we protect people? How do we power it responsibly?

Nova Scotia is actively driving that conversation.

If you’ve been quietly skeptical about the rise of AI, knowing that responsible, privacy-first, sustainable technology is being engineered right here in Atlantic Canada might help ease your mind. You aren’t just adopting reckless tech from a distant corporation; you are part of a province that is defining what the future looks like.

And that is something to be proud of.

Your expertise is buried in blog posts, PDFs, and your own head — and leads are still sliding into your DMs asking the same five questions. Meet Ava. A 24/7 AI assistant built on Google Workspace and WordPress that qualifies leads, answers pricing questions, and pings your phone the moment a hot prospect shows up. Here's exactly how I built her.

You can’t be online 24/7, and your best advice is buried in 100+ blog posts, PDFs, and internal SOPs.

Thousands of hours of knowledge living inside your head.

And every week the same five questions land in your inbox.

“What do your programs cost?” “Do you offer 1:1 support?” “Where should I start?”

You are the expert. And you’re also the bottleneck.

It’s not a knowledge problem – it’s a delivery problem. Your expertise lives in you, and you can only be in one place at a time.

But what if it didn’t have to?

Part I: The Problem — You Are the Bottleneck

As a solopreneur, you are the only one who can answer the high-level questions. Every pricing inquiry, every “is this right for me?” message, every discovery question that arrives at 9 PM on a Friday lands on you.

I have 50+ public blog posts on this site. Years of content. A Gmail Challenge. My programs. And leads were still asking me the same questions that I’d already answered dozens of times on my site.

Not because they weren’t looking – or the information was hard to find – but because expertise locked inside my website isn’t the same as expertise that can respond.

The solution wasn’t a simple chatbot that answers questions. What I built is different. Instead of a static FAQ, I built a Semantic Search Engine and Sales Agent.

An instant staff member and Persistent Digital Brain that knows my programs, my tone of voice, and every tip I’ve ever published. It’s a 10x timesaver for lead qualification and customer support and pings me the moment a hot lead shows up.

I spent a weekend building it. Her name is Ava.

Strategy First

Strategy comes first. Always.

Determine Your Goals: Before deciding on a single tool or touching a setting, define what “Success” looks like.

Lead Gen: Is Ava pitching your lead magnet?

Support: Is she answering “How-to” questions?

Consultant: Is she acting as a 24/7 version of you?

My sales hat has never fit right. I’ve left a lot of money on the table and missed opportunities over the years.
What success looked like for me: I wanted a full-time Sales Agent. Leads pre-qualified and pointed toward the Gmail Challenge or a Breakthrough Session. And I wanted an instant Gemini summary the moment someone signals buying intent.

I began by brainstorming in Docs with Gemini in the side panel with full access to my programs, my customers, my 25+ years of business history.

Part II: Step 1 — Building the Brain – the benefits of RAG (Retrieval-Augmented Generation) vs. standard fine-tuning

I didn’t ‘program’ Ava to know my prices. I just gave her access to my Google Drive.

While a fine-tuned model “remembers” things (like a student cramming for a test), Ava operates like an expert with an open book. Because I have her synced to my Google Docs and blogs she doesn’t have to “guess” my prices – she’s looking them up in real-time.

The benefits:

Zero Hallucinations: By setting the temperature to 0.1, I told Ava, “If it’s not in the notes, don’t make it up.”

The “Context Window“: Using Gemini 3 Flash allows her to read massive amounts of my content to find that one mention of an $18.40 Workspace fee buried in an old post.

Live Links: Because she’s pulling from my actual site data, she’s serving up my theaiadvantage.ca/gmail-challenge link exactly when the lead is most likely to click it.

Here’s why that matters. When your knowledge base lives in Google Docs, you can update it, refine it, and expand it any time – without touching a single plugin setting. And because it’s in your Drive, your Business Standard Gemini can help you get the language right – before a lead ever sees it.

Structure is Queen:

AI doesn’t “read” a PDF; it “chunks” it. To get the best answers, you need to format your uploads properly. Don’t just dump information. Structure it. Gemini works best when you’ve cleaned your house before inviting it in. The cleaner your Docs, the more accurate your bot.

Hierarchy Matters: Use clear headings (H1, H2). Don’t just use bold text; use actual document structure.

Avoid “Fluff”: AI loves “Question: Answer” or “Action: Result” formats.

Text is King: If your PDF is just one big image (like a flattened flyer), the AI is blind. Ensure the text is highlightable/selectable.

Consistency: Use the same terms throughout. Don’t call it “The Program” in one place and “The Masterclass” in another.

Use Gemini in the sidebar to refine your language. Make sure it sounds like you – your voice, your way of explaining things, before any of it goes near the bot.

Building a knowledge base isn’t a one-time event. It’s an evolving asset. Every time you write a new post or record a new training, it gets fed to your digital twin.

Example Data: What to Upload

Data Type

Purpose

Best Format

Lead Magnet PDF

Pitching to new visitors

Single-page high-impact summary

Pricing Guide

Pre-qualifying leads

Clear Table / List format

Blog Transcripts

Deep subject-matter expertise

Raw text / Markdown

Bio & Values

Humanizing the bot

First-person “I believe…” text

Part III: Step 2 — The Silent Saleswoman (WordPress + Gemini Flash)

This is where the brain gets a voice.

I used the AI Engine Pro WordPress plugin to power Ava on my site connected to Gemini 3 Flash. In Google AI Studio I set up my API key, configured a monthly spend cap, and turned on billing alerts. Ava costs me under $10 a month to run.

For accuracy, I added Pinecone – a free vector database – as the retrieval layer. This is what keeps Ava grounded in my content instead of generating answers from thin air. When someone asks a question, she searches the knowledge base first. Then she answers.

The result is a bot that isn’t guessing. She’s retrieving.

But here’s what separates Ava from a generic chatbot. She isn’t just there to answer questions. She has a job.

Ava is programmed to:

Prequalify. She asks the right questions. What kind of business do you run? What’s your biggest challenge right now? She gathers context before she starts suggesting solutions — the way a good consultant does.

Promote. She leads the right visitors toward my free 5-Day Gmail Challenge. Low barrier. High value. The first step into my ecosystem.

Upsell — at the right moment. When the conversation signals someone is ready for more, Ava doesn’t hesitate. She mentions the $197 Business Automation Breakthrough Session and links directly to the booking page.

She knows exactly when to say: “The best next step is to book a Discovery Call with Nancy.”

And she says it with live links. At any hour. Without me.

Part IV: Step 3 — The Command Centre (The Workspace Studio Flow)

This is where the rubber meets the road.

When a visitor finishes a conversation with Ava, I don’t have to log into WordPress to find out what happened. My tools tell me.

Here’s the magic:

WordPress emails the transcript to my Gmail. Every completed chat generates an automatic email with the full conversation.

A Gmail filter catches it and routes it. Same filter logic I use across my entire operating model – invisible, automatic, already done before I open my inbox.

Workspace Studio catches the filtered email. The flow I built in Studio takes over from there. It uses Gemini to read the transcript and summarize the lead’s intent — what they asked, what they need, where they are in the decision making process.

A line item is added to my Ava Insights Tracker. Chat logs = business intelligence. That email notification shared in the last screenshot (above) = messy data. I’ve created a feedback loop to structure the data via Sheets that will tell me exactly what to build next.

Google Chat pings my phone. Within minutes of the conversation ending, I get a notification with a Gemini-written briefing:

“New Lead: They are interested in the Automation Genius program. Here is a summary of their specific challenges.”

I also set keyword triggers. If someone uses the words price, quote, or consult during the chat – I’m notified immediately.

This is the same Workspace Studio logic I used to automate my expense tracking. If you haven’t read that post yet, start there — because my bookkeeping hat doesn’t fit well either.

And if you’re wondering why I chose Google Workspace tools for all of this instead of a third-party stack, this post answers that question directly.

Part V: Why This Is the Gold Standard for 2026

Three reasons.

Speed. When Ava has a conversation, I know about it within minutes. That means I can follow up while the person is still thinking about their business..

Efficiency. Ava handles the repetitive 90%. The pricing questions. The “where do I start?” conversations. The lead qualification I used to do manually via inbox.

Scalability. This is the gold star that changes everything. If I write a new blog post tomorrow, I turn it into a structured Doc, export to PDF, and add it to the knowledge base. Ava knows it by the time the post goes live. If I launch a new offer, same process. If my pricing changes, I update one Doc. Done.

I can add 100 documents to Ava’s brain without touching a plugin, rewriting a prompt, or calling a developer. The system was designed for that from the start — because it was built on Google Drive.

Ava is one of my best business assets.

Ready to Become an AI-First Solopreneur?

I built this for my business – and I can build it for yours too.

If sales makes you cringe (too) – let’s talk.

I handle the tech, the knowledge base structure, the Workspace Studio notification flow, and the initial setup so your digital assistant knows your business the way Ava knows mine. You show up. Your tools do the rest. A Genius bot – without the Genius price-tag.

Book a free Discovery Call →

Let’s find out if your business is ready for its digital twin.

P.S. — Sales hat on.

Not ready for a full build yet? Start here:

That’s a sentence I didn’t expect to write.

I built my reputation on ChatGPT. My LinkedIn presence, my tutorials, my early courses — it all started there. If you’ve followed me for a while, you know… I went all-in. Dozens of tutorials. Hundreds of hours. I have a Gumroad page full of them. People still buy them.

ChatGPT was my entry into generative AI. It’s how people knew me.

And then… I cancelled my subscription.

Real Talk: This Is a Values Post

I want to be clear about what this isn’t.

This is not a “Claude vs. ChatGPT vs, Gemini” post.

This is about what happens when the company behind a tool starts making choices that I can’t ignore.

Because in 25 years of running businesses and two burnouts to prove it, I’ve learned:

You have to stand for something. Or you’ll fall for anything.

The Slow Burn

It didn’t happen overnight.

There was a slow accumulation of things that didn’t sit right with me.

First, there was the drama around Sam Altman getting fired — then reinstated — by his own board in November 2023. The chaos of that moment raised real questions about who actually has control at OpenAI, and what values are guiding the ship.

Then came the political donations. Sam Altman personally donated $1 million to Donald Trump’s inauguration fund. OpenAI president Greg Brockman and his wife donated $25 million — eventually growing to $50 million — to MAGA Inc., Trump’s primary super PAC. (Sources: Brennan Center for Justice, Axios, Yahoo Finance.)

I’m not here to tell you how to vote. That’s not my lane.

But when the people running a tool you’ve built your business around start making political moves at that scale, it’s no longer just a product decision. It’s a values decision.

Then Came Tumbler Ridge

This one hit hard as a Canadian.

In February 2026, eight people were killed in a mass shooting at Tumbler Ridge Secondary School in British Columbia. Most of them children.

Here’s what came out after: ChatGPT had flagged the shooter’s account eight months earlier, in June 2025 — for violent content. About a dozen OpenAI employees reviewed it. Some of them wanted to contact police.

The company said no. It didn’t meet their internal threshold for “imminent” harm.

The shooter then created a second account. (Sources: CBC News, Global News, BetaKit.)

I sat with that for a long time.

At the same time OpenAI was lobbying the Canadian government for business (while sitting on that information). The B.C. Premier called it “profoundly disturbing.” And families are now suing OpenAI.

I’m not saying this makes ChatGPT a weapon. I’m saying this told me something about the culture and the decision-making inside that company that I couldn’t unsee.

The Pentagon Situation Was The Straw

And then this happened — the straw that broke the camels back.

Anthropic — the company behind Claude — was approached by the U.S. Department of Defense. The DOD wanted unrestricted access to Claude for what they called “all lawful purposes.”

Anthropic said no.

Specifically, they drew a hard line on two things: fully autonomous weapons and mass domestic surveillance of Americans.

They said, publicly: “We cannot in good conscience accede to their request.”

The Trump administration responded by labelling Anthropic a “supply chain risk to national security” — a designation previously reserved for foreign adversaries and terrorist organizations. Never before used on an American company. (Source: CNBC, Anthropic’s own public statement.)

Anthropic lost government contracts. They are fighting this in court.

And OpenAI? They stepped right in and signed a deal with the Pentagon – in a blink.

That’s the moment it crystallized for me.

One company said: here is the line we will not cross.

The other company said: No problem! we’ll do it!

The New Yorker Feature

If you haven’t read the recent New Yorker profile on Sam Altman, You might want to check it out. It paints a picture of someone who is brilliant, driven — and playing a very long game that may not have your interests at its centre.

I’m not going to summarize it. Go read it. Draw your own conclusions.

The Uncomfortable Part

Here’s where it gets real…

Changing my position publicly — after years of building credibility as a ChatGPT expert — is uncomfortable.

People know me for that work. My tutorials are still up on Gumroad. The ChatGPT Mastery Category still live on my blog. I still stand behind the how-to in those guides. The mechanics don’t change just because I changed tools.

But I had to ask myself: if I keep using and recommending this tool, what am I implicitly endorsing?

That’s the question I couldn’t shake.

There’s a hat we wear as solopreneurs that doesn’t always fit — the “just keep going” hat. The “don’t make waves” hat. The “it’s just a tool” hat.

Sometimes that hat doesn’t fit anymore.

And the most honest thing you can do is take it off.

The Mantra That Changed Everything

There’s a quote that’s been living in my head through all of this:

“You have to stand for something. Or you’ll fall for anything.”

I’ve been a solopreneur for 25 years. I’ve burned out twice. I’ve learned — the hard way — that the tools you use, the companies you support, the decisions you make in your business all reflection of who you are.

Was this a hard post to write? Yes. Did I lose sleep over how it might land? A little. But I’d rather lose a subscriber than lose my integrity.

Talk soon. Nancy ☕

P.S. Ready to make some changes in your business — starting with the tools you use?

You’ve been told AI is your secret weapon, but half the time it gives you lukewarm, robotic junk. The problem isn’t the AI—it’s your prompt. If you’re ready to stop getting wimpy results and start getting what you really want from your tools, you need to learn about meta-prompting: the game-changing hack of using AI to help you write better prompts. Stop the guesswork and turn your AI into your personal prompt whisperer.

You. The solopreneur. The one-person show. You’re juggling everything – marketing, sales, client work, and now… becoming a “prompt engineer”?

Ugh.

You’ve been told generative AI is your new secret weapon. Your tireless intern. Your 24/7 brainstorming buddy.

But half the time, it feels like you’re talking to a well-meaning but hopelessly dense assistant. You ask for a sizzling sales page, and it gives you a lukewarm haiku. You want an email that oozes empathy, and you get something a robot would write to another robot.

The problem isn’t the AI. (Sorry, it’s not you, it’s… well, it’s kinda you.)

It’s the prompt.

But let’s be honest about how most of us really approach prompting.

We’re not using “systematic prompt optimization strategies.” We’re typing in a vague query without any real structure, crossing our fingers, and just hoping for the best.

It’s a strategy I call “prompt and pray.”

And it’s a terrible way to get things done. It’s why you’re wasting time, getting wildly inconsistent results, and failing to learn what actually works. Without any kind of version control or reusable templates, you’re stuck reinventing the wheel with every single new prompt.

This is why the pros use a framework like TCREI (Task, Context, References, Evaluate, Iterate). It’s the foundation for getting better results.

But what happens when even the framework leaves you stuck? What if your evaluation is just… “this sucks, and I don’t know why”?

What if you could stop guessing and turn your AI into your own personal prompt whisperer?

You can. It’s called meta-prompting. And it’s about to become your favorite time-saving, output-improving hack.

What the Heck is Meta-Prompting?

It’s a fancy term for a simple, game-changing idea: using AI to help you write better prompts.

Instead of tearing your hair out trying to figure out the “magic words” to get what you want, you ask the AI to help you build the prompt. You’re turning the tool back on itself.

Think of it like this: you wouldn’t build a house without a blueprint. So why are you trying to build powerful marketing assets with flimsy, half-baked prompts? Meta-prompting is how you draft the blueprint, even for your TCREI framework.

There are two main ways to do this. Let’s break ‘em down.

Part 1: When You’re Starting from Scratch (a.k.a. Prompt Generation)

You know you need something – a social media campaign, a blog post, a video script – but you don’t know where to start. The blinking cursor is mocking you.

Instead of just winging it, try these:

Strategy 1: Just Ask for It (Direct Generation)

This is the “no-duh” starting point. You’re a busy wellness coach who needs to welcome new clients to your program. Instead of fumbling around, just ask:

“Generate a prompt that could help write a warm, motivating welcome email for new clients who have just signed up for my 12-week wellness program.”

Boom. The AI will spit out a structured prompt you can then use to get the actual email written. You’ve skipped the guesswork.

Strategy 2: Ask for a Blueprint (Template Request)

Sometimes, a single prompt isn’t enough. You need a repeatable formula. You’re a course creator who wants to generate a series of engaging video lesson scripts.

Try this:

“Create a template for a gen AI prompt designed to write a 5-minute video script for a marketing course. The template should include placeholders for the lesson topic, the key takeaway, the target audience (beginner marketers), and the desired tone (encouraging and actionable).”

Now you have a fill-in-the-blanks template you can use over and over. Efficiency, unlocked.

Strategy 3: Show, Don’t Just Tell (Image & Text Prompting)

Let’s say you’re a freelance designer. You have a specific aesthetic in mind for a client’s brand, inspired by a vintage travel poster you found online. Describing it is a nightmare.

Don’t describe it. Show it.

Upload the image and write:

“Generate a prompt I can use in Midjourney to create a logo for a sustainable travel company, using the artistic style of the attached image as the primary inspiration.”

This works for text, too. Struggling to write a case study that’s as compelling as one you admire from a competitor? Feed that competitor’s case study into the AI and ask:

“Using the attached text as a reference, generate a prompt that will help me write a case study with a similar narrative flow and persuasive tone for my own web design project.”

Part 2: When Your Prompts (and Results) Are a Bit ‘Meh’ (a.k.a. Prompt Refinement)

Okay, so you’ve got a prompt. You’ve run it. And the output is… fine. It’s okay. It’s not going to win any awards, but it’s not terrible.

“Fine” doesn’t grow your business.

This is where the real pros separate themselves from the amateurs. They live by a simple mantra: ABI. Always Be Iterating. They don’t just accept “fine.” They refine. They tweak. They poke the AI until it gives them gold. Let’s turn “fine” into “holy smokes, who wrote this?!”

Strategy 1: The “Make it Better” Button (Leveling Up)

This is my favorite. And it’s beautifully simple. You wrote a prompt for an ad for your Etsy shop, and the result is generic.

Go back to the AI and ask:

“This was my original prompt: [Paste your meh prompt here]. How can I change this prompt to produce social media ad copy that is more playful, uses more sensory language, and creates a stronger sense of urgency for a limited-edition product?”

You’re literally asking the AI to coach you on how to ask it better questions.

Strategy 2: The Frankenstein (Remixing)

You’ve tried three different prompts to write your ‘About Me’ page. Prompt #1 nailed your professional background. Prompt #2 captured your quirky personality. Prompt #3 had a great call-to-action. But none of them got it all right in one go.

Stop trying to smoosh the outputs together. Remix the inputs.

Paste all three of your original prompts into the chat window and write:

“Combine the three prompts below into one ‘super-prompt’ that captures the key elements of each. I need it to generate an ‘About Me’ page that includes my professional experience, my personal brand voice, and a compelling call-to-action for potential clients.”

Strategy 3: The Vibe Check (Style Swap)

Your AI is giving you facts when you want feelings. You asked for a description of your coaching method, and it gave you a technical manual. You want clients to feel the transformation, not just read the steps.

Tell it:

“Rewrite my prompt to focus less on the technical process and more on the emotional journey of the client. Use more expressive, aspirational, and benefit-driven language to describe the experience.”

You don’t have time to become a world-class prompt engineer.

And you don’t have to.

With meta-prompting, you can stop the endless cycle of trial and error. You can get the AI to do the heavy lifting, not just in creating your content, but in creating the very instructions needed to get that content right. Remember to ABI.

So next time you’re staring at that blinking cursor, don’t try to be a hero.

Ask the AI for help. It’s waiting to be your personal prompt designer. You just have to ask.

When Canada's AI legislation died in January 2025, it looked like a policy disaster. But as the EU struggles with AI Act implementation and the US deregulates, Canada's fresh start may be the smartest move yet. Here's why Canadian businesses should prepare now for the coming regulatory advantage.

On January 6, 2025, when Parliament was prorogued and Canada’s Artificial Intelligence and Data Act (AIDA) died on the order paper after two years of painstaking work, it felt like a catastrophe. Critics called it a regulatory failure. Policy experts worried about Canada falling behind in the global AI race. The timing couldn’t have been worse—or so it seemed.

Let’s break it down with some help from AI:

The original AIDA (as part of Bill C-27) = over two years of work, consultation, and policy prep

January 6, 2025: Parliament prorogued, killing AIDA mid-review just before final amendments

Happy accident?

Reset Moment

But then March 14, 2025 happened. Mark Carney became Prime Minister, and instead of rushing to revive AIDA as-is, his government announced they wouldn’t. They were starting fresh. A clean slate. A reset.

Learning from the EU’s Growing Pains

While Canada was dealing with political transition, the European Union was wrestling with the real-world implementation of their groundbreaking AI Act. Meta and Google won’t sign off on the practical guidelines for compliance with EU AI Act, and some of the most prominent artificial intelligence models are falling short of European regulations in key areas such as cybersecurity resilience and discriminatory output.

Canada had a front-row seat to watch how comprehensive AI regulation works in practice—the compliance challenges, the industry pushback, the implementation hurdles. Maybe we could learn from the EU’s test run without having to endure the growing pains ourselves.

The American Chaos Machine

Meanwhile, south of the border, the United States was charting a completely different course. On January 23, 2025, President Trump issued a new Executive Order titled “Removing Barriers to American Leadership in Artificial Intelligence,” which replaces President Biden’s Executive Order and signals a significant shift away from oversight, risk mitigation and equity toward a framework centered on deregulation.

By February, the Trump administration’s approach became even more clear. US Vice President JD Vance told heads of state and CEOs gathered in Paris that “excessive regulation of the AI sector could kill a transformative industry just as it’s taking off” and directly criticized the EU AI Act.

The Americans weren’t just deregulating—they were actively opposing international cooperation on AI safety. The US was noticeably absent from an international document signed by more than 60 nations, including China, making the Trump administration the glaring outlier in a global pledge to promote responsible AI development.

Innovation freedom, yes—but at what cost? The volatility was making long-time allies nervous about relying on U.S. leadership for setting global standards.

The World Realigns

Trump’s volatility didn’t just create instability—it created opportunity

Long-time allies aren’t waiting on U.S. leadership anymore

June 23, 2025: Canada and the EU announced a major pact on defence, digital trust, AI regulation, and secure supply chains

The Strategic Advantage of Perfect Timing

Whether AIDA’s death was a happy accident or strategic masterstroke may never be fully known. But the outcome is undeniable: Canada now has the luxury that’s rarest in AI policy—time used wisely.

While the U.S. prioritizes rapid deregulation and the EU works through implementation challenges, Canada is positioned to create what could become the gold standard for AI governance: comprehensive but workable, protective but innovation-friendly, internationally aligned but practically effective.

The Trump administration’s criticism that “excessive regulation of the AI sector could kill a transformative industry” isn’t entirely wrong—but neither is the EU’s approach to ensuring AI systems are trustworthy and safe. Canada has the opportunity to find the sweet spot.

What Canadian Business Leaders Need to Know Now

The window for preparation is closing. While the exact details of Canada’s new AI framework remain to be seen, the direction is clear: we’re aligning with international standards that prioritize safety and transparency.

Start preparing now by:

Understanding EU AI Act principles – even if our final rules differ, the fundamental risk-based approach will likely be similar

Auditing your current AI applications – categorize them by risk level and impact

Building transparency into your AI systems – documentation and explainability will be crucial

Establishing governance frameworks – the companies that succeed will be those with strong AI oversight processes

The businesses that view this transition as an opportunity rather than a burden will be the ones that thrive in Canada’s new AI landscape.

The Reset Advantage

In chess, sometimes losing a piece sets you up for a much stronger position. Canada’s AIDA “failure” may have been exactly that kind of move—a sacrifice that positioned us perfectly for the next phase of the game.

You know that feeling when you’re drowning in documents, but you need to find that one crucial piece of information… right now? We’ve all been there.

Picture this: It’s 9 PM, you’re finally sitting down to work on that client proposal, and you need to reference something from that 50-page industry report you downloaded last month. Or maybe you’re onboarding a new client and they’re asking the same questions you’ve answered a hundred times before, but the answers are scattered across different documents.

Sound familiar?

If you’re a solopreneur juggling a dozen different hats, constantly switching between researcher, writer, strategist, and everything else, you’re going to want to know about NotebookLM. It’s Google’s AI-powered research assistant that might just be the productivity breakthrough you didn’t know you needed.

What Is NotebookLM? (And Why Should You Care?)

Think of NotebookLM as your personal AI research assistant who actually reads your documents and remembers everything. Unlike ChatGPT or other AI tools that draw from the entire internet (sometimes making things up), NotebookLM only works with the documents you feed it. This means no hallucinations, no random facts from questionable sources—just insights based on your actual content.

Here’s what makes it special:

Source-grounded answers: Everything it tells you comes directly from your uploaded documents, complete with citations

Multi-format support: PDFs, Google Docs, web pages, YouTube videos, audio files—it handles them all

Privacy-first: Your data isn’t used to train their AI models

Free to start: The basic version gives you serious capabilities at zero cost

Getting Started: Your First NotebookLM Setup (5 Minutes, I Promise)

Let’s get you up and running. I’ll walk you through this step-by-step because I know you don’t have time to figure it out through trial and error.

Step 1: Access NotebookLM

Go to notebooklm.google.com

Sign in with your Google account (yes, you need one—but you probably already have one)

You’ll see a clean interface with an option to create your first notebook

Step 2: Create Your First Notebook

Click “+ New notebook“

Give it a descriptive name (like “Client Onboarding Materials” or “Q4 Marketing Research”)

Think of each notebook as a project folder—everything related to one topic goes in one notebook

Step 3: Add Your Sources

This is where the magic happens. Click “Add sources” and upload:

PDFs: Reports, contracts, manuals

Google Docs/Slides: From your Drive

Web URLs: Articles, blog posts

YouTube videos: It’ll use the transcript

Audio files: It transcribes them for you

Pro tip: You can add up to 50 sources per notebook (300 if you upgrade), so don’t hold back. The more relevant information you feed it, the smarter your AI assistant becomes.

Step 4: Start the Conversation

Once your sources are uploaded, NotebookLM automatically generates a summary. But here’s where it gets interesting—you can now chat with your documents:

“What are the main pain points mentioned in these customer interviews?”

“Summarize the key recommendations from this report in 5 bullet points”

“What does this contract say about payment terms?”

Every answer comes with citations, so you can click through to see exactly where the information came from.

The Features That Will Actually Save You Time

1. Audio Overviews: Your Documents as Podcasts

This might sound gimmicky, but hear me out. NotebookLM can turn your documents into a conversational podcast between two AI hosts. They’ll discuss the key points, debate nuances, and break down complex information in a way that’s actually engaging.

Real-world use: Listen to a summary of that dense industry report while you’re commuting, or create an audio briefing of your SOPs for new team members.

Check out the one I created for the above screenshot and use case: NotebookLM: AI for Solopreneurs and Small Business.

2. Instant Content Generation

Need an FAQ for your website? A timeline of project milestones? A briefing document for stakeholders? NotebookLM can generate these in seconds using your source material.

The Studio panel gives you one-click options for:

FAQs based on your content

Executive summaries

Project timelines

Study guides (great for training materials)

3. Mind Maps for Visual Thinkers

If you’re someone who thinks visually, the Mind Map feature creates interactive diagrams showing how all your information connects. Click on any node to dive deeper into that topic.

4. Smart Search Across Everything

Instead of opening five different documents to find one piece of information, ask NotebookLM to search across all your sources. It understands context, not just keywords.

Real Use Cases: How Solopreneurs Are Actually Using This

Let me share some concrete examples of how business owners like you are using NotebookLM to work smarter, not harder.

Use Case 1: The Content Creation Machine

The Problem: Marcus runs a marketing consultancy and needs to constantly create blog posts, case studies, and social content, but he’s always starting from scratch.

The Solution: He maintains a NotebookLM notebook with industry reports, client success stories, and market research. When he needs content ideas, he asks the AI to brainstorm based on current trends in his sources.

The Result: Instead of staring at a blank page, Marcus gets AI-generated outlines, talking points, and even first drafts based on his research.

Sample prompts he uses:

“Based on these industry reports, what are 10 blog post ideas for small business owners?”

“Create an outline for a case study using this client’s success story”

“What are the top 3 trends I should be writing about this quarter?”

Use Case 2: The Living SOP Library

The Problem: As her team grew, Emma found herself constantly explaining processes and procedures. New hires were overwhelmed by the massive operations manual.

The Solution: She uploaded all her SOPs, training materials, and process documents into a NotebookLM notebook that her team can query.

The Result: Team members can ask specific questions like “What’s the client handoff process?” or “How do we handle rush orders?” and get step-by-step instructions with references to the official documents.

Implementation steps:

Gather all your process documents, SOPs, training materials

Create a notebook called “Company Operations”

Upload everything—don’t worry about organization, the AI handles that

Share with your team members within your organization so they can collaborate and add new questions/notes

Use the analytics (Premium) to see what questions come up most often

Use Case 3: The Research Synthesis Machine

The Problem: Before making any business decision, Alex spends hours reading through market reports, competitor analysis, and industry data scattered across different sources.

The Solution: For each major decision, he creates a research notebook with all relevant documents and asks NotebookLM to identify patterns and insights.

The Result: Instead of manually connecting dots across dozens of documents, Alex gets synthesized insights in minutes.

Power prompts for research:

“What are the common themes across these customer feedback surveys?”

“Based on these competitor analyses, what opportunities are they missing?”

“Correlate the trends in these market reports with our sales data”

Free vs. Premium: What You Actually Need

The Free Version Gets You Far

100 notebooks (that’s a lot)

50 sources per notebook

50 chat queries per day

3 audio overviews per day

All core features including sharing

Bottom line: Start with free. For most solopreneurs, this is plenty to see significant productivity gains.

Premium (NotebookLM Plus) – When to Upgrade

At about $20/month (through Google One AI Premium), you get:

5x higher limits (500 notebooks, 300 sources each)

500 daily queries, 20 daily audio overviews

Chat-only sharing (game-changer for client portals)

Custom AI response styles (formal, casual, technical, etc.)

Notebook analytics (see how your shared notebooks are being used)

Upgrade when: You’re hitting daily limits, need client-facing knowledge bases, or want to track usage analytics.

Business users: If you’re already on Google Workspace Business Standard or higher, you likely already have Premium included—check your admin panel.

Important note: Google Workspace (business) accounts can only share notebooks within your organization.

The Learning Curve (Spoiler: It’s Gentle)

Here’s the honest truth about getting started:

Week 1: You’ll probably just upload a few documents and ask basic questions. That’s fine—you’re already saving time.

Week 2: You’ll start experimenting with the content generation features and realize how much time they save.

Week 3: You’ll begin creating specialized notebooks for different projects and sharing them with clients or team members.

Month 2: NotebookLM becomes part of your daily workflow. You’ll wonder how you managed without it.

What NotebookLM Can’t Do (And Why That’s Actually Good)

Let’s be real about limitations:

It only knows what you tell it: No external web search, no general knowledge beyond your documents
Cant share: Outside your organization (for Business accounts)

Not perfect: Occasionally misinterprets context (though citations make verification easy)

English-first: Audio features are primarily English, though 50+ languages are supported for text

File size limits: 500,000 words per source (that’s roughly 1,000 pages—probably enough)

But here’s why these limitations are actually features: because NotebookLM only works with your sources, you can trust its answers. No random internet facts, no outdated information—just insights from the documents you’ve vetted.

Getting Started This Week: Your Action Plan

Day 1 (15 minutes):

Go to notebooklm.google.com and create your first notebook

Upload 3-5 documents you reference frequently

Ask it 5 questions about your content

Day 3 (20 minutes):

Try the Audio Overview feature—listen to your documents as a podcast

Generate an FAQ or summary using the Studio features

Create a second notebook for a different project

Day 7 (30 minutes):

Share a notebook with a colleague or client (start with View access)

Try the Mind Map feature to visualize your content

Evaluate: Are you hitting the free tier limits? Could Premium features help?

The Bottom Line

Look, I get it. You’re busy. You don’t have time for another tool that promises to revolutionize your workflow but ends up gathering digital dust.

But NotebookLM is different. It’s not asking you to change how you work—it’s making your existing work faster and smarter. Those documents you’re already creating, reading, and sharing? NotebookLM makes them interactive. Those questions you’re already answering? It can handle the repetitive ones.

Start small. Pick one pain point—maybe it’s client onboarding, or research synthesis, or team training. Create one notebook. Upload your relevant documents. Ask it a few questions.

I guarantee you’ll save time in your first session. And once you experience what it’s like to have an AI assistant that actually knows your business (because you taught it), you’ll start seeing possibilities everywhere.

Start with the free version at notebooklm.google.com and see what 15 minutes can do for your productivity.

Running a business solo means wearing all the hats – from CEO to content creator to tech support. It’s no wonder that solopreneurs are constantly on the lookout for tools that can help them work smarter, not harder. Enter Gemini Canvas: Google’s newly launched feature that might just become your favorite virtual team member.

What Is Gemini Canvas?

Launched in March 2025, Gemini Canvas is a new interactive workspace within Google’s Gemini AI that transforms how you create content and code. Think of it like a digital whiteboard where you and Gemini collaborate in real-time, with immediate feedback and visualization of your ideas.

Unlike the standard chat interface, Canvas provides a dual-pane experience: you chat with Gemini on one side while seeing your creation take shape on the other – all in real-time.

6 Ways Solopreneurs Can Use Gemini Canvas Today

1. Content Creation Without the Blank Page Syndrome

For many solopreneurs, consistent content creation is both essential and exhausting. Canvas makes this process significantly more manageable:

Blog Post Generation: Start with a topic, and Canvas will help draft a complete post that you can refine with your expertise and voice.

Email Newsletter Creation: Quickly generate engaging newsletters with proper formatting and tone adjustments.

Website Copy: Draft compelling landing page text that communicates your unique value proposition.

The real magic happens in the interactive editing process. Instead of going back and forth in a chat, you can highlight sections directly in Canvas and ask Gemini to “make this more conversational” or “shorten this section,” seeing the changes instantly.

2. Marketing Material Development

Marketing requires constant creative output across multiple platforms:

Social Media Content Planning: Generate a month’s worth of social posts based on your content pillars.

Content Repurposing: Turn your long-form content into platform-specific variations (LinkedIn post, Twitter thread, Instagram caption).

Email Sequence Creation: Map out complete nurture sequences or sales campaigns.

Here’s a prompt to try: “Create a 30-day LinkedIn content calendar based on these three pillars: [your topics]. Include content ideas for top, middle, and bottom of funnel.”

3. Simple Web Design and Prototyping

Even without coding expertise, you can leverage Canvas for basic web elements:

Landing Page Mockups: Generate simple HTML/React templates for landing pages.

Web Component Creation: Create forms, pricing tables, or testimonial sections.

Simple Interactive Elements: Build basic interactive elements like FAQ accordions.

The real-time preview capability means you can see how your web elements will look and function without switching between multiple tools or platforms.

4. Business Planning and Organization

Canvas isn’t just for customer-facing content – it’s also brilliant for internal strategy work:

Project Planning: Map out project steps, timelines, and potential roadblocks.

Content Strategy Development: Outline your content pillars and distribution strategies.

Customer Journey Mapping: Visualize the complete customer experience with your business.

The upcoming visual elements creation (for Gemini Advanced users) will make this even more powerful, allowing for timelines, mind maps, and slides directly within Canvas.

5. Design Prototyping for Your Website

One of Canvas’s most practical applications for solopreneurs is creating design mockups that you can share with your web designer or developer:

Visual Website Mockups: Generate interactive prototypes of new pages or site sections.

UI Element Visualization: Create specific components like contact forms, pricing tables, or galleries.

Design Iteration: Quickly test different layout ideas without expensive design software.

While Gemini Canvas can generate React/HTML code that may not directly import into your site like WordPress (which uses PHP), the real value is in the visual communication:

Try this: Link to using @ or upload a Doc or PDF of one of your service offerings and try this prompt:

"Create a web mockup for a [enter your service offering] homepage with a hero section, 3 service blocks, testimonial section, and contact form. Make it clean and modern."

Practical WordPress Workflow:

Use Canvas for design prototyping.

Provide the interactive mockup to your developer.

Developer translates your vision into WordPress (PHP, HTML, CSS).

This approach eliminates the frustration of trying to explain your vision verbally and provides a concrete reference that reduces revision cycles with your designer.

6. Overcoming Isolation: Your AI Brainstorming Partner

The loneliness of solopreneurship is real. While Canvas can’t replace human connection, it does provide something valuable:

Idea Validation: Get immediate feedback on your business concepts.

Brainstorming Support: Use Gemini to explore different angles on a topic or problem.

Creative Unblocking: When you’re stuck, Canvas can provide alternative approaches or ideas to consider.

Best Practices for Solopreneurs Using Gemini Canvas

To get the most value from Canvas:

Start with clear prompts: The more specific your instructions, the better your results will be.

Treat it as a first draft generator: Canvas content will need your personal touch, industry expertise, and unique voice.

Use the highlight and modify feature: Instead of rewriting entire sections, highlight specific parts and ask for targeted changes.

Integrate with your existing workflow: Export content to Google Docs for further refinement or sharing with clients/collaborators.

Experiment with different content types: Try different formats to discover where Canvas adds the most value for your specific business.

Real-World Example: Content Batch Creation

Here’s how a solopreneur coach might use Canvas for efficient content creation:

Start by asking Canvas to help create a content framework based on your expertise areas.

Generate a long-form blog post on your core topic.

Request Canvas to extract key points for social media posts.

Create variations of these posts for different platforms.

Generate an email that delivers the core content to your list.

Export everything to Google Docs for final polishing.

What would normally take hours across multiple sessions can be streamlined into a single Canvas workflow.

Limitations to Keep in Mind

While powerful, Canvas does have some current limitations:

It’s currently available via web at gemini.google.com with mobile access coming soon.

Standard Google Workspace users don’t yet have access (though this may change).

The visual element creation features are still rolling out to Advanced users.

AI-generated content always benefits from human expertise and perspective.

The Bottom Line for Solopreneurs

In a business landscape where time is perhaps your scarcest resource, Gemini Canvas offers solopreneurs a powerful way to amplify your productivity across multiple aspects of your business. It’s not about replacing your creativity or expertise – it’s about giving you a responsive partner that helps transform your ideas into tangible outputs faster and more efficiently.

By providing a collaborative space where you can quickly generate, refine, and visualize your ideas, Canvas reduces the friction between concept and creation – something every solopreneur can appreciate.

Have you tried Gemini Canvas yet? What aspects of your solopreneur journey could benefit most from this kind of AI collaboration?

When I was accepted into the Perplexity Business Fellowship program, I was honestly torn. On one hand, I was excited to join this exclusive cohort of business strategists exploring advanced AI applications. On the other hand, it meant giving up every other of my sacred Friday afternoons – my cherished content creation time with tea, my LazyBoy, and uninterrupted focus – for six whole months.

But alas, I’ve learned that often the most valuable growth happens when we step outside our comfort zones.

Here’s my summation of the kickoff session and what Dmitry Shevelenko, Chief Business Officer at Perplexity, said during his interview with Aravind Srinivas (co-founder & CEO):

“Develop muscle memory for evaluating new technologies. Build intuition through repetition. Aim for good judgment faster than others. Use storytelling: make abstract AI concepts concrete. Share personal experiences and specific examples. Ground narratives in practical applications.”

Dmitry was touching on something profound here – first principles thinking. It’s about stripping away assumptions and getting to the core truth of how something works. Rather than following conventional wisdom or mimicking what others do, first principles thinking means starting with fundamental truths and reasoning up from there. It’s the difference between copying a workflow versus truly understanding why each step matters.

For us as solopreneurs, this approach can change the game. Instead of blindly adopting AI tools because “that’s what successful businesses do,” we can evaluate each technology based on how it addresses our specific challenges. Combined with muscle memory – making these tools second nature through consistent practice – we develop an intuition that helps us make better technology decisions faster than our competition.

While first principles thinking is more about cognitive problem-solving, and muscle memory is about physical skill acquisition, both concepts share a common thread – repetition and practice.

That concept of “muscle memory” struck a chord with me, especially working with solopreneurs who want to scale their businesses while juggling so many responsibilities. By applying first principles thinking to understand the fundamental aspects of a new skill and using repetition to build muscle memory, plus the courage to unlearn – solopreneurs can efficiently conquer learning something new.

Why “Muscle Memory” Matters for AI Adoption

We’ve all done it. You learn a new tech tool, get excited about the possibilities, implement it once or twice… and then revert to your old ways of doing things. Not because the new way isn’t better, but because the old way is automatic. It doesn’t require thinking.

This is exactly what happens with AI tools like Gemini or Perplexity. The tools themselves are incredibly powerful, but without consistent use, they remain underutilized—just another “someday” tool in your digital arsenal.

As business owners who have built successful enterprises, you already know that success isn’t about knowing what to do – it’s about consistently doing what you know (staying in your zone of genius). Building muscle memory for AI tools follows the same principle.

The Science Behind Muscle Memory

Yes. Muscle memory works with physical activities too like typing or playing an instrument. The neurological principles apply equally to cognitive processes like using AI tools effectively.

When we repeatedly perform an action, our brains create neural pathways that make those actions require less conscious effort over time. The action becomes automatic – freeing up mental bandwidth for higher-level strategic thinking.

For solopreneurs, this matters. When basic tasks become automatic, you have more cognitive space for the work that moves the needle.

Building Your AI Muscle Memory: Practical Steps

So how do we develop this muscle memory, especially when we’re already juggling so many responsibilities? Here are some practical strategies:

1. Start with a “Sacred 20”

Choose a 20-minute block each day dedicated solely to practicing with your AI tool of choice. During this time, resist the urge to multitask or switch between tools.

For my clients who use Gemini AI, I recommend starting with these simple daily exercises:

Summarize yesterday’s meeting notes

Draft responses to three standard client inquiries

Generate three content ideas around your primary content pillars

Analyze a competitor’s recent content for strategic insights

2. Create Trigger-Based Habits

Link your AI tool usage to specific triggers in your workday. For example:

Trigger: Opening your inbox in the morning

Response: Use Gemini to draft responses to three emails before handling any manually

Trigger: Client onboarding paperwork

Response: Use Gemini to customize your welcome templates based on the client’s specific goals

These trigger-based habits help embed AI usage into your existing workflow rather than treating it as a separate activity.

3. Build Progressive Complexity

One mistake I see solopreneurs make is trying to use advanced AI features before mastering the basics. Just like you wouldn’t start a fitness journey with complicated exercises, start with simple AI applications and gradually increase complexity.

Week 1: Basic email drafting and content idea generation Week 2: Document summarization and formatting Week 3: Workflow automation sequences Week 4: Integrated systems with multiple tools

4. Practice Deliberately, Not Passively

As Dmitry emphasized during the Perplexity session, storytelling and concrete examples are key. Don’t just read about AI applications – implement them with specific business problems in mind.

Instead of: “I’ll learn about Gemini’s capabilities” Try: “I’ll use Gemini to analyze my last five client onboarding experiences and identify common friction points”

5. Leverage the Consistency Cascade

I’ve noticed an interesting pattern among clients in my Automation Genius program. Once they build muscle memory in one area (like email management), the adoption of other AI tools accelerates dramatically.

Start with just one workflow you perform daily. Master it completely before moving to weekly tasks, then monthly processes.

Real-Life Examples: Before and After AI Muscle Memory

Example 1: Email Management Transformation

Before: Lisa, a real estate agent, would spend 2-3 hours each morning sorting through emails, manually responding to property inquiries, and forwarding messages to team members.

The Muscle Memory Process:

Day 1-5: Set up basic Gemini email templates for common inquiries

Day 6-10: Created Gmail filters and labels with smart response system

Day 11-15: Added conditional logic to responses based on property type

Day 16-20: Integrated the system with CRM auto-updates

After: Email management now takes 30 minutes. The time investment to build this muscle memory? Just 20 minutes per day for three weeks. The system now saves her 10+ hours weekly.

Example 2: Content Creation System

Before: Patricia, an executive coach, would block full days for content creation, often feeling overwhelmed by the blank page and spending hours crafting posts.

The Muscle Memory Process:

Week 1: Daily practice using Gemini to generate content ideas from her content pillars

Week 2: Added hooks and custom prompt frameworks to her creation system

Week 3: Incorporated her brand voice and ICP considerations

Week 4: Built a complete Content OS with scheduled automation

After: Patricia now creates a month of content in a single afternoon, with much higher engagement rates and clearer strategic alignment.

The Aftercare Factor: Why I Include Extended Support

This emphasis on muscle memory is exactly why my Automation Genius program includes aftercare support. After our intensive 4-week program, I provide continued check-ins to ensure these new AI habits stick.

Because I’ve seen it too many times, the difference between temporary improvement and transformative change isn’t in knowing what to do—it’s in continuing to do it until it becomes second nature.

When the Student Becomes the Teacher

While I’m excited to learn more advanced Perplexity applications through the Business Fellowship program, I’m equally committed to grounding everything I learn in practical applications for solopreneurs like you.

As Dmitry advised, I’m ditching the deck. No more 20+ page presentations on AI capabilities. Instead, I’ll be showing rather than telling – demonstrating specific queries, real-life applications, and practical workflows that solve actual business problems.

Your Next Steps: Minimal Viable Muscle Memory

If you’re feeling overwhelmed by all the AI tools and possibilities, remember this: muscle memory starts with a single repetition.

Choose ONE area where AI could save you significant time. Commit to just 20 minutes daily for the next week, focusing solely on that application. Document your progress and celebrate the small wins.

By the time we meet again on this blog, you’ll have completed your first week of AI muscle memory development. I can’t wait to hear how it’s transforming your workflow!

I’ve got some exciting news to share – I’ve been accepted into the Perplexity AI Business Fellowship Program! Starting tomorrow, I’ll be diving deeper into this powerful AI research tool alongside and impressive lineup of experts from companies like NVIDIA, Box, and Databricks.

As someone who’s spent over two decades helping solopreneurs streamline their businesses, I’m always on the lookout for tools that can help us work smarter. That’s why I’m super excited about this opportunity to explore Perplexity AI from the inside out.

What is Perplexity AI?

If you haven’t tried Perplexity AI yet, it’s worth adding to your radar. In a nutshell, it’s an AI-powered search and research assistant that combines the breadth of web search with the contextual understanding of AI.

But what makes Perplexity stand out is how it delivers information – instead of just links, you get comprehensive, synthesized answers with sources cited. This means you can quickly find accurate information without hopping between multiple websites or verifying facts across different sources.

Free vs. Pro: Understanding the Options

Like many tools in our digital ecosystem, Perplexity offers both free and paid tiers:

The Free Version gives you access to AI-driven searches and basic research functionality. For many solopreneurs, especially those just wanting to test the waters, this level provides substantial value without investment.

Perplexity Pro ($20/month) unlocks additional features like:

Faster response times

More in-depth answers

Access to additional AI models

Image generation capabilities

Voice mode

As with any business tool, the question isn’t just “Is it worth it?” but rather “Would this create enough value in my specific business to justify the cost?” That’s something I’m eager to explore during this fellowship.

How Solopreneurs Can Leverage Perplexity AI

Here’s how I’ve been using it:

Market Research: Quickly gathering insights about industry trends, competitor analysis, and potential opportunities without spending hours wading through search results.

Content Creation: Researching topics, verifying facts, and gathering insights that can inform your blogs, social media, and marketing materials.

Business Strategy: Getting concise information about emerging technologies, market shifts, or business practices that could impact your decision-making.

Product Development: Researching customer needs, problems, and preferences to inform your offerings and messaging.

The true value of tools like Perplexity isn’t just in saving time (though that’s significant) – it’s in making better-informed decisions with less effort.

The Business Fellowship: What I’m Looking Forward To

The Perplexity Business Fellowship targets professionals with over 5 years of experience in business or strategic roles and promises:

Expert-Led Masterclasses: Learning from industry leaders about practical AI implementation

Hands-On Workshops: Moving beyond theory to actual application

Community of Innovators: Connecting with other business leaders exploring AI integration

While applications for this cohort are now closed, I’m committed to bringing you along on this journey. Consider this blog the first of many where I’ll share the most valuable insights and strategies I discover.

What’s Next?

Over the coming weeks, I’ll be sharing:

My firsthand experience with Perplexity AI’s advanced features

Specific use cases and workflows for solopreneurs

ROI considerations – where and when the Pro version makes financial sense

Integration strategies with other business tools

One thing I know for sure after 25 years in this game – the solopreneurs who crush it aren’t necessarily the ones with the fanciest websites or biggest budgets. They’re the curious ones. The ones who say “Hmm, what’s this?” instead of “Nah, I’m good with what I know.”

That’s why I’m so pumped about this fellowship. Not because I need another tool (honestly, who does?), but because I’m genuinely curious about what Perplexity might help us do better or faster. I’m going in with zero expectations and all the questions – exactly how I’ve approached every new adventure that ended up changing my business.

Stay tuned for updates as I navigate this learning journey – I can’t wait to share what I discover!

The Perplexity AI Business Fellowship runs each Friday until May 30th. What questions would you like me to ask the experts? What aspects of AI research tools are you most curious about? Share your questions in the comments, and I’ll do my best to bring back answers specifically for solopreneurs like us!

Did you know that solopreneurs and small business owners spend an average of 16 hours per week (about 3.2 hours per day) on administrative tasks? That’s two full workdays that could be dedicated to growing your business, developing new offerings, or—imagine this—actually taking time off. The right AI automation tools for solopreneurs can reclaim this time, which is exactly what I’ve done with my tech stack.

After 25+ years as a solopreneur, I’ve learned that success isn’t about working harder—it’s about building systems that work for you. Today, I’m pulling back the curtain on the 12 essential tools that form the backbone of my business at AI Advantage Consulting.

This isn’t just a list of random apps. It’s a carefully curated ecosystem where each tool plays a specific role in my business operations. Let me walk you through a typical day in my business life and show you how these tools work together to save me 20+ hours every week.

Productivity Powerhouses

Gemini in Google Workspace: My Digital Executive Assistant

At the heart of my daily operations is Google Workspace with Gemini integration—my first stop every morning.

My day begins with a simple prompt: “Scan my unread emails and list action items by priority.” Within seconds, I have a clear roadmap for the day’s communications. If you’re a solopreneur, you know there are always fires to put out, and this simple automation helps me tackle them systematically.

When drafting emails, Gemini summarizes recent correspondence, checks related files for context, and brings me up to speed instantly. It also checks my calendar and creates follow-up tasks automatically. My clients and I are saving 5+ hours per week on email management alone with this workflow.

But what I love most about the Google ecosystem is how everything works together:

Google Docs has become my repository for everything—social media posts, blog content, email templates, client communications, ++. I save it all because it might be valuable for training AI models later.

Google Sheets hosts my CRM, social media analytics, financials, and project tracking—all automatically updated by Zapier.

Google Meet transcribes my client sessions, providing a transcript, summary, and overview delivered in a single email with relevant files attached.

Google Calendar updates when I share a screenshot of event details and I can “call” it in from any app I’m working in.

Google Forms gathers client information, needs assessments, and feedback, with Zapier automating follow-ups, Sheets updates, and task creation.

Plus, I’ve created Custom Gems in Gemini for each client, trained on their preferences, journey, projects, and communication style.

ChatGPT: My Strategic Partner

While Gemini handles my daily operations, ChatGPT is my go-to strategic partner. I turn to it for in-depth research, data analysis, code debugging, and deep reasoning.

My workhorse Custom GPTs live here—specialized tools for creating code, analyzing social media and Google Analytics, managing my membership site, and supporting the tutorials I offer on Gumroad.

ChatGPT is also my research assistant. Remember when we used Google for quick answers? That’s how I use ChatGPT now, but with more nuanced and comprehensive responses.

Zapier: The Invisible Automator

If there’s one tool I couldn’t live without, it’s Zapier—the glue that keeps my tech stack together. It makes all my apps talk to each other and automates tasks in real time while I sleep.

When a client books a session through Calendly, Zapier automatically:

Updates my CRM in Google Sheets

Creates a welcome sequence in Gmail

Adds a task to my task list

Triggers a Google Form for intake information

Adds the client to my email list

Without Zapier, I’d need a team of assistants to manage these workflows. Instead, I’ve built automated systems that run seamlessly in the background.

Creativity Catalysts

Canva: My Design Powerhouse

People tell me they could spot my content from the moon, and I have Canva to thank for that. From brand kits to templates to a jam-packed “Magic Studio” filled with AI tools, Canva makes being creative both easy and fun.

I can now remove a background with a single click—a task I still remember doing pixel-by-pixel in Photoshop. Canva has democratized design for non-designers like me, allowing me to create professional-looking assets in minutes instead of hours.

Claude: My Creative Partner and Project Manager

Claude has become my creative partner and project manager. It’s trained on my brand voice, brand kit, mission statement, and ideal client profile—it knows my business inside and out.

What sets Claude apart for me is it’s writing style. If I have a particularly difficult email to write, I turn to Claude every time. It has streamlined my creative process by helping me write social media posts, blogs, website copy, and creating visual artifacts I use as reference designs in Canva.

The result? I’ve reduced my time on content creation by 65% with inspiration from Claude.

Midjourney: My Creative Inspiration

While I’m still exploring Midjourney’s full potential, my favorite use case is studying the work of other creators for inspiration. I primarily use Midjourney for my blog creatives, translating concepts into visual inspiration that I can then recreate in Canva.

If I had to live without one of my subscriptions, this would probably be the one—but for creative inspiration, it still earns its place in my stack.

Client Management Masters

Calendly: The First Impression Maker

Calendly is the tool I never knew I needed and now can’t live without. With automated sequences, email and text reminders, and easy integration with my other tools, it creates a seamless booking experience for my clients.

I trust Calendly to create that crucial first impression in my client journey. Integrated with Zapier, it updates my CRM, adds tasks, triggers forms, and more—reducing my time on client onboarding by over 70%.

Notion: The Client Command Center

Notion is where my clients live in their custom client portals. I’ve built each client a command center with everything they need to succeed, organized for easy access.

I love Notion for organizing information—documents, images, tutorials, databases, dashboards, and more. It creates a professional, organized experience for clients while making it easy for me to manage and update their resources.

Loom: The Training Companion

For training videos and walkthroughs in my Automation Genius program, Loom is my go-to tool. It’s easy to use, easy to edit, and easy to share—all essential qualities when creating educational content.

Loom allows me to create personalized video feedback and tutorials for clients, adding a personal touch to my digital services.

WordPress Ecosystem: My Website Automation Hub

The final three tools power my WordPress website. Instead of building on rented land with third-party platforms, I’ve invested in owning my digital home—a decision that pays dividends in both control and long-term cost savings:

AutomatorWP: Like Zapier for WordPress, it makes all my plugins talk to each other, saving time and money through no-code automation.

MailPoet: Manages my subscriber list and makes designing eye-catching emails easy with an intuitive drag-and-drop interface. With best-in-class delivery rates and built-in SMTP, setup was a breeze.

MemberPress: Powers my upcoming Members portal (coming soon!). I’ve been asked for years to provide cohorts and a dedicated community. This will allow me to collect payments and easily set up subscription tiers while keeping my community in one place.

Building Your Own Tech Stack

The beauty of today’s AI and automation landscape is that you don’t need to adopt all these tools at once. Start with the areas where you’re spending the most time or experiencing the most frustration.

For most solopreneurs, I recommend starting with these three fundamental tools:

Google Workspace with Gemini: To streamline your daily operations and communications Is Google Workspace right for your solopreneur business?

Zapier: To connect your tools and automate repetitive tasks

Canva: To create professional-looking visuals without design skills

From there, you can expand based on your specific business needs.

The Real ROI of Automation

The return on investment from my tech stack isn’t just measured in time saved—though reclaiming 20+ hours per week is certainly significant. The real value comes from:

Reduced mental load: No more keeping track of follow-ups, deadlines, or client details in my head

Consistent client experience: Every client receives the same high-quality experience, regardless of how busy I am

Scalable business model: I can take on more clients without proportionally increasing my workload

Work-life boundaries: Automation helps me create clear boundaries between business and personal time

Most importantly, these tools have allowed me to focus on what I do best: helping solopreneurs transform their businesses through intelligent automation.

Ready to Build Your Own Automation Ecosystem?

If you’re ready to reclaim your time and build a more efficient business, I’d love to help. My Automation Genius program is designed specifically for solopreneurs who want to cut their administrative time in half and build systems that scale.

Book a free consultation to discover which automation solutions would have the biggest impact on your business. Your kitchen table breakthrough is waiting.
