In this post, I’ll show you exactly how to build a simple AI-powered CRM using tools you already pay for.

The Reality of Managing Client Follow-Ups

Here’s a scenario you’ve probably lived:

• Monday: A client reaches out asking for a quote. You respond and make a mental note to follow up later.
• Thursday: You get deep into project work, and the follow-up doesn’t happen.
• The Result: By the time you circle back, the moment has passed and the lead is cold.

The issue is that the next step existed only in your memory. Once your attention moved elsewhere, there was nothing to bring it back.

Why a Simple CRM Solves This

A CRM is just a centralized place where the whole thread lives. It organizes everything you need in one glance:

• Contact details and full conversation history
• Sent quotes and promised follow-up dates
• The current status of where things stand

Nothing gets lost between messages, and it completely removes the burden of remembering. For a solopreneur wearing every hat, that matters more than it does for a large sales team. There is no one else to catch what you drop.

What Most Solopreneurs Actually Need From a CRM

Most CRM platforms are built for teams, which means they come loaded with features many solopreneurs will never use. At its core, though, a CRM only needs to do a few things well:

Keep client information in one place. Contact details, notes, conversation history, and current status should be easy to find without hunting through emails, documents, and sticky notes.

Show you what needs attention. You need a clear view of active opportunities, upcoming follow-ups, and overdue tasks. Nothing more complicated than that.

Remember things for you. Follow-up reminders, status updates, and routine admin should happen automatically whenever possible.

Connect with your email. Client conversations shouldn’t live in a separate universe. Your CRM should work alongside the inbox you already use.

Work wherever you are. Whether you’re at your desk or on your phone between meetings, the information you need should be accessible.

Every one of those requirements can be handled with the system you’re about to build, using tools you already pay for.

Data Ownership Matters More Than Features

When people compare CRM platforms, they usually focus on features: automations, integrations, reporting, AI assistants, and dashboards.

A more important question rarely comes up: where does your data live?

Most CRM platforms store your client information inside their own system. That’s fine until you decide to leave. Maybe the pricing changes. Maybe your needs change. Maybe the company gets acquired, shuts down a feature you rely on, or you simply find a better alternative.

At that point, moving your data becomes a project.

Your client database is one of the most valuable assets in your business. It should move with you, regardless of which software you use next year.

A Google Sheet lives in your Google Drive. You control it. You can export it, copy it, automate it, or connect it to other tools whenever you choose.

The system you’re building here isn’t just simpler. It’s built on data you already own.

What This Looks Like in Practice

A spreadsheet is usually where you store information.

But in this setup, it becomes something more useful than that. It keeps your client data organized, flags what needs attention, and connects directly to the documents and conversations you already have. Most importantly, it can answer questions about your clients without forcing you to dig through rows or switch between tools.

Here’s what that looks like in practice.

Your inbox is full of noise. Most of it can wait. But buried in there is a message from someone you’ve been speaking with for the past two weeks, and you need to quickly check where things stand before you reply.

Normally, you’d open your spreadsheet, scan for the right row, piece together the context, then jump back to your email. It’s not hard, but it breaks your flow.

In this setup, you just ask.

Inside Google Chat, Gmail, or Docs, you type something like:

“What’s the status with [client name], and when did we last speak?”

Gemini pulls the information from your sheet and gives you a clear answer. You stay where you are. The thread stays intact.

That difference adds up. Anyone who has fallen into the trap of switching between tabs just to answer a simple question knows how quickly time disappears.

If you’ve already been using Google Chat as part of your day-to-day workflow, this is where it becomes more than just messaging. It turns into the layer that connects your CRM to the rest of your work.

And if focus is something you’re intentionally designing your work around, this kind of system starts to matter more than most people realize.

A Quick Look at What’s Already Built for You

If you’ve never used Gemini inside Google Sheets before, there’s an easier starting point worth knowing about.

Google Sheets now includes Gemini-powered templates for things like CRMs, project trackers, and content calendars. Most people scroll past them, but they’re useful for understanding what’s possible before you start building your own system from scratch.

This post walks through how they work and what they’re useful for. If you’re new to this, it’s worth a quick look before continuing here.

What This Actually Looks Like in Sheets

You end up with a structured CRM built directly in Google Sheets.

Each client lives in its own row, with clean formatting for things like status, follow-up dates, contact details, and deal value. Dropdowns keep entries consistent. Date fields make follow-ups trackable. Currency and text fields stay organized without effort.

The header row is styled and frozen so it always stays visible as you scroll. Your system stays readable, even as it grows.

Overdue follow-ups are automatically flagged in red using conditional formatting. You don’t have to check anything manually. The sheet tells you when something needs attention.

Each row can also connect to the rest of your workspace. Smart Chips link a client directly to their Google Contact, relevant Drive files, and any related Calendar events. One click gets you context without searching.

If you don’t want to build it from scratch, there’s also a ready-made template you can start from and adjust as needed.

All of this is created using a handful of prompts inside the Ask Gemini panel in Google Sheets. No manual formatting. No complex formulas. Just setup once, then let it run.

What You’ll Need

• A Google Workspace Business Standard subscription — this is where Gemini lives inside Sheets
• A blank Google Sheet — start fresh, not on top of existing data
• About 20 minutes

No third-party tools. No add-ons. Everything stays inside Google Workspace.

Part 1: Build the CRM with Gemini

Open the Ask Gemini Panel

Open a brand new Google Sheet. Click the Gemini icon in the top right corner to open the Ask Gemini side panel. This is where all five prompts will be entered, one at a time.

Prompt 1 — Structuring the Columns

Copy this prompt into the Ask Gemini panel and hit enter.

Before anything happens, Gemini shows you a three-step plan and asks you to approve it. Read it. Confirm it matches what you asked for. Then click Approve.

Once approved, Gemini runs each step and narrates exactly what it’s doing — including the precise cell ranges it applies each rule to. Dropdown validation applies to 1,000 rows from the start. Your CRM is built to grow without you going back to fix anything.

Why the prompt specifies “starting in cell A1 with no title rows above the header”

Gemini has a habit of adding a decorative title above the column headers — sometimes in row 1, sometimes row 2. It looks tidy. It will silently break the Workspace Studio automation we connect in Week 4, which expects data starting at row 1 with no exceptions. That one line in the prompt prevents it. Don’t remove it.

Prompt 2 — Adding Your Aesthetics

Change the background colour of row 1 to #80b623 and the text colour to white, bold.

Freeze row 1 so it stays visible when scrolling.

Swap #80b623 for your own brand colour if you have one.

Prompt 3 — Managing Long Text

Set column I (Notes) and column O (Tags) to wrap text. Set all other columns to clip.

Prompt 4 — Setting Up the Visual Alerts

This is the automation that replaces your mental follow-up list.

Add conditional formatting so that if the date in column K (Next Follow-Up) is earlier than today and the cell is not empty, the entire row background turns light red (#fde8e8).

You can test this right away by typing a fake client into a row and setting their follow-up date to yesterday. The row will change to a soft, distinct red – a reminder from your system showing you exactly who needs your care today.

Prompt 5 — Clearing the Canvas

Delete the sample data row so the CRM is empty and ready to use.

Keep all formatting, validation, and conditional formatting intact.

Gemini verifies its own work here — checks that everything is preserved before confirming done. Your CRM is clean and ready.

Part 2: Working with Smart Chips

The final three columns of your spreadsheet—Client Contact, Source File, and Calendar Event—do not hold basic text. They hold live, interactive portals to the rest of your Google Workspace ecosystem.

Client Contact Type @ and start typing the person’s name. Links to their Google Contact — name, email, phone number, recent emails. One click and you’re in their card.

Source File Type @ and start typing the file name. Links to any file in your Google Drive — a proposal, a contract, an invoice. Always the most recent version. No more “which version did I send them?”

Calendar Event Type @ and start typing the event name or date. Links to a Google Calendar event — including appointments booked through your Booking Page. Your next meeting with this client, linked directly to their row.

How to Apply a Chip

1. Click into the cell in the Client Contact, Source File, or Calendar Event column
2. Type @
3. Start typing the name of the person, file, or event — select from the dropdown

Three columns. Same three steps.

Saturday night. 10:15 pm. My dog Gemma went out for her last “potty” break before bed and came back with a face full of porcupine quills. In the corner of her eyes. On the roof of her mouth. And the nearest emergency vet almost two hours away.

We got home at 4am.

The vet emailed the paperwork, the invoice, and the medication instructions as attachments. The next morning we were groggy, wrung out, running on nothing. I couldn’t remember a word he’d said about the meds.

I didn’t open Gmail. I didn’t dig through attachments. I didn’t search my inbox. I didn’t have the mental bandwidth.

I opened Google Chat and asked Gemini.

It read through all three attachments and told me the medication was due in 24 hours. It noted Gemma should have food with it. It set a Calendar reminder. Then it drafted a thank you email to the vet that referenced the visit details from the attachments.

Out of the box, it was stellar. Thirty seconds. I didn’t open a single other app. I just asked, the way you’d ask a person sitting right next to you who had read everything and remembered it all.

That’s when I understood the power of Workspace Intelligence.

The Scattered Brain Behind the System

Think of it like stepping out of a noisy mailroom and sitting down at a clean, quiet desk where your daily logistics engine already has all the context. Every email. Every file. Every calendar event. Every attachment. All of it — without you having to go looking.

Google Workspace and Understood.org put it well in their neurodiversity guide: our brains expend a massive amount of mental fuel just organizing thoughts, recalling context, and filtering out digital noise. That’s the tax we pay before we even start the actual work.

Workspace Intelligence eliminates that tax.

What I Can Do Now Without Leaving Chat

This week I asked Gemini in Chat whether I’d finalized Week 4 of Workspace Elite. It told me I hadn’t, listed the outstanding items, and included a link and preview to the working file.

On paper, my Drive is perfectly organized. It’s also 20 years old. There’s a lot in there.

Having Chat is like having a secretary and asking, “go get this for me, please.” You don’t have to know where it’s filed. You don’t have to remember what you called it. You just ask.

Here’s what I can do now without opening a single other app:

Find and synthesize anything. Emails, files, attachments, decisions from three months ago. I just ask.

Draft emails. Chat writes them. I send them. The thank you to Gemma’s vet took me thirty seconds.

Manage my calendar. Ask Gemini to schedule focus time, add a meeting, or check what’s coming up this week.

Get my daily briefing. Every morning, Gemini surfaces what actually needs my attention. Not everything — the important things.

Your business is no longer run on willpower or memory. It runs on one intelligent system.

One thing worth mentioning. Google’s marketing says Chat can generate documents and slide decks. In my testing, it can’t. It can draft the content, but it cannot initialize a new file in your Drive. That still requires you to open the app.

If building something out of nothing is what you need, that’s the Gemini app’s job. Chat is built for something different — running the logistics of your day.

How to Set Up Your Minimal, Sensory-Friendly Workspace

Google Chat’s default layout can feel noisy out of the box. Here’s how I set mine up for maximum calm and focus.

1. Make it “Sticky” 

First, let’s separate it from the noise and make it easy to find.

• Open Google Chat in Chrome (chat.google.com).
• Click the three vertical dots in the upper-right corner of Chrome, select Save and share, and click Install page as app (or click the monitor-and-arrow shortcut right in your URL bar).
• Drag that new Google Chat app icon directly onto your Mac Dock or Windows Taskbar.

One click. Dedicated window. No browser tabs competing for your attention.

2. Activate “Calm Mode”

This matters more than it sounds. Harsh notification sounds can trigger a fight-or-flight response in neurodivergent brains. Calm mode is not a preference. It’s a boundary.

• Open Chat Settings (the gear icon at the top right).
• Navigate to Notifications and change your notification to “Calm.”
• Turn on Do Not Disturb and set your quiet hours.

3. Switch to Threads View

Chat defaults to a Home feed you can’t clear — notifications stack up chronologically and there’s no way to get to zero. It’s a trap for clean-space brains.

Toggle your filters to Active Threads view.

4. Close the Right-Hand Pane Entirely

As a solopreneur, you don’t need it. Corporate teams use that sidebar for group cross-talk. You’re having a direct conversation with your business data.

• Move your mouse to the top right of that right-hand pane and click the “X” to close it completely.
• Your central Gemini command pane will dynamically expand to fill your entire screen, leaving you with an immaculate, wide visual desk.

Look at that. An immaculate canvas.

That second screenshot is my Home tab after switching to Threads view. All quiet here in message land. In a word, sublime.

You Already Have This

For years, solopreneurs have been told the secret to productivity is more discipline. Better planners. Another tool on top of all the other tools.

But if you’re already on a Google Workspace plan, you’re sitting on a Ferrari.

You don’t need a new system. You need to stop managing the chaos and let one intelligent system manage it for you.

Close the extra tabs. Drop your shoulders.

Your inbox doesn’t know who you are.

It doesn’t know your clients, your offers, your voice, or the fact that you’ve answered the same question fourteen times this month. Every email starts from zero. Every draft is a blank page.

Gemini Gems change that.

A Custom Gem is a specialized AI assistant you configure once — trained on your business, your content, your voice — and it lives right inside your Gmail side panel. It already knows the context. It drafts from that foundation.

If you read my Gemini AI in Gmail post, you already know you can call a Gem directly from the side panel. This post is about building the one worth calling.

I’ll use my own setup as context — I built mine to support a 4-week Google Workspace coaching program — but the approach works for any solopreneur who answers emails, follows up with clients, or writes the same kinds of messages over and over. Hopefully it gets your wheels turning on what yours could do.

You can have it built in about 20 minutes. If your Drive is organized. (Wink.)

Before you open Gem Manager: put your thinking cap on

20 minutes spent now = hundreds of hours saved over time.

Start here: where is your time actually going?

If you do something more than once — answering the same client question, drafting the same kind of email, writing the same type of content — that’s a Custom Gem waiting to happen.

A few questions worth sitting with before you build:

• What emails do I write from scratch that I’ve written a dozen times before?
• What questions do clients, prospects, or followers ask me repeatedly?
• Where do I stare at a blank page the longest?
• What tasks require my voice but not necessarily my brain?

Your answers tell you what your Gem’s job is. Define the job first. Build second.

One more thing: don’t skimp the instructions. That’s the most important field in the whole builder. If you’re not sure what to write, brainstorm with Gemini. Tell it your role, your audience, and what you need the Gem to do. Let it draft the instructions, then edit them until they feel right.

All good tools start with strategy. This one’s no different.

What a Custom Gem actually does

A Custom Gem is a specialized AI assistant you configure once. You give it a name, instructions, and a knowledge base. From that point on, every conversation with that Gem starts from that foundation — your voice, your context, your material.

When you call it from Gmail, it has access to the email thread you’re looking at. You don’t copy-paste anything. You just ask.

For my Workspace Elite coaching program, mine does three things:

• Answers client questions by pulling from my actual course content
• Drafts week-specific follow-up emails using my templates
• Writes in my voice — about 80% of the way there. The last 20% is still me. That’s fine.

Your version might look completely different. A Gem trained on your service packages to handle inbound inquiries. One that drafts proposals from a template. One that follows up with leads using language that sounds like you wrote it at your best, not your most exhausted. The job is yours to define. And you don’t have to limit yourself to one.

Step 1: Build the Gem

Go to gemini.google.com. In the left sidebar, click Gems. Then click Create a Gem.

You’ll see four fields: Name, Description, Instructions, and Knowledge. That’s the entire builder. Very simple.

Name it clearly

Mine is Workspace Elite Correspondence. You’ll see it listed in your Gmail side panel (we’ll get to that) and you want to know immediately which Gem you’re launching. Clever names are confusing six weeks later. Clear names aren’t.

Description

One sentence. For your eyes only. What does this Gem do?

Instructions — this is where your Gem gets its personality

Here’s a version of what I used:

You are Nancy Bain’s email assistant for her Workspace Elite coaching program. When answering client questions, pull answers directly from the course material in the linked NotebookLM notebook. Quote the source where possible. If the answer isn’t in the material, say so. Do not guess. When drafting follow-up emails, use the week-specific template from the knowledge doc. Ask me for the client’s name and one detail from our last session before drafting. Keep emails warm, direct, and under 150 words.

Voice rules I added:

Short sentences. No filler. Warm but not gushing. Never say “leverage,” “empower,” or “game-changer.” Sound like a consultant who’s been in the trenches — not a marketer.

If you’re staring at that field not knowing where to start — just talk to Gemini. Tell it your business, your role, and what you want the Gem to do. Ask it to draft your instructions. Then edit until it feels right for you.

Default tool

Leave it set to No default tool. This Gem is for drafting and answering. It doesn’t need to reach for image generation or deep research unprompted.

Step 2: Add your knowledge — strategically

Click the + beside the Knowledge field. You’ll see four options:

• Upload files
• Add from Drive
• Import code
• NotebookLM

This is where most people make a mistake: they upload everything.

Don’t.

Your Gem only needs to know what’s relevant to its job. Dumping in your full business SOP library doesn’t make it smarter — it makes it slower and less focused. Feed it what it needs. Nothing more.

Tag your NotebookLM notebook

Use the NotebookLM option to link your notebook directly. If you’ve built a Second Brain — seeded with your course content, proposals, templates, and processes — this is where you point the Gem at it. (If you haven’t – I highly recommend).

The real advantage: when you update the notebook, the Gem gets smarter automatically. No re-uploading.

Hint: You can upload up to 300 files. Pdfs, docs, links, audio files, slides, sheets – all the file formats you’ll need. I seeded mine with with links from my site with each week’s content. I uploaded the tutorials, transcripts from the videos. All relevant files for coaching program.

Add your knowledge base files

Via Add from Drive: I uploaded my client follow-up email templates. The Gem knows which template maps to which week and uses it as the starting point when I ask it to draft a follow-up.

Click Save. Your Gem is live.

Step 3: Call it from Gmail

Open Gmail. Click Ask Gemini in the top navigation bar to launch the side panel.

At the top left of the side panel, click the hamburger menu — the three horizontal lines. That’s your More Options menu.

You’ll immediately see two of your Gems listed. If the one you need isn’t there, click View All.

Select your Gem. It launches right there in the panel — no new tab, no copy-pasting, no context switching.

Now open a client email thread. Type your prompt:

“Draft a Week 2 follow-up for Simon who completed all his homework.”

That’s it. The Gem pulls the Week 2 template, personalizes it for Simon, and drafts it — in minute and a half.

What this actually looks like

Here’s a real example from my own inbox.

I typed: “Draft a Week 2 follow-up to Simon who rocked Week 1 and completed all his homework.”

The Gem returned a personalized email with the right subject line, acknowledged Simon’s specific win, and transitioned cleanly into the Week 2 homework check-in. Cited the source material. Sounded like me.

The whole process— from opening Gmail to having the draft ready — took less than a minute. And I can’t wait for the new Voice feature coming to Gmail. No typing required!

Why this works

Every week of my program, clients ask the same kinds of questions. What’s the difference between a filter and a label? How do I seed my NotebookLM notebook? Where does the Agentic CRM Sync live?

Before the Gem, I was answering questions from memory. Now the Gem answers from the source material — and quotes it directly. Clients get a more accurate answer. I get my time back.

The follow-up emails are the other half. Consistent check-ins, two days after each session, personalized to what that client actually did that week. It sounds like me because I wrote the templates and the voice rules. It’s better than using a template.

The setup takes about 20 minutes

If your NotebookLM is seeded and your Drive is organized, this is a fast build. The interface is simple — name, description, instructions, knowledge. Nothing technical.

The part that takes time is the instructions. Don’t rush those. Be specific about what the Gem should do, what it should never do, and what your voice actually sounds like. That’s where the 80% comes from.

The other 20% is still you. That’s not a flaw. That’s the point.

Workspace Subscribers: Gemini AI is already inside your Gmail. You don’t need a separate subscription. You don’t need to set anything up. It’s just… there. Waiting.

Most solopreneurs I know are using about 10% of it. The rest is sitting there, while they’re still manually re-reading 20-message threads, typing the same kinds of emails from scratch, and mentally tracking what needs a response by end of day.

Before we get started: Set custom instructions

Custom instructions govern how Gemini behaves across your entire inbox. Every draft, every response, every interaction, start from the rules you set here.
At the top left of the Gemini side panel you’ll see a light grey circle with 3 horizontal lines in it. This is your “More options” menu.

Click More Options > Settings > Personalization.

• Click Add.
• Enter your instructions.
• Click Save.

You can set up to 1,000 persistent custom instructions that Gemini will automatically refer and adapt to. You can use these for your preferred formatting, tone, and writing style. Whatever makes your communication feel like you, write it down here and Gemini will follow it every time.

You can toggle your instructions on or off with a single click. So if you need to send something more formal than your usual style, you turn it off, send the email, turn it back on.

Ask your inbox anything: AI Overviews

This one will change how you work forever.

Instead of scrolling, searching, or mentally reconstructing a timeline of events, you can just… ask. Type a question directly into the Gemini side panel and it reads across your entire inbox to answer it.

“What did Sarah send me about the project scope?”
“Has anyone followed up on the proposal I sent last Tuesday?”
“What’s the status of the invoice from February?”

Smart search pulls from your emails, your Drive, your Calendar, without having to switch tabs or losing your place.

For solopreneurs carrying the context of dozens of client conversations in their head at any given time, this is the feature I’d start with.

If you don’t see the AI overview box directly under their search bar yet, it’s coming on the Business, Enterprise and Education plan. Google is still pushing out the visual interface update for my Business Standard plan.

Pro tip: If you use the traditional navigation sub-filters (like clicking the Mail, Conversations, or Spaces pills under the search bar), Gmail will suppress the AI Overview and default back to old-school keyword searching.

If you are waiting on Google’s visual update to drop the AI Overview box into your search bar, you don’t need to stall your business. Use the Gemini Side-Panel. It’s the exact same brain, it gives you the exact same answers, and it lets you take action on those answers instantly.

Catch up in seconds: Email Summarization

I love this for summarzing long threads and unread emails. You can summarize an email by clicking “Summarize this email” at the top of any conversation window.

Or summarize your inbox by prompting Gemini in the side bar.

Before I set up a daily recap in Workspace Studio my first prompt of the day was, “Summarize unread emails and list action items.” Now that it’s automated I receive a briefing each morning at 7:00 am. It arrives in Chat while I’m relaxing with my morning coffee. ps – a Chat notification doesn’t hit the same way as an inbox notification. I know my entire day before I ever launch Gmail.

Open any email thread in Gmail and launch Gemini in the side bar.

Click “Summarize this email in more detail” (or request a brief summary using a prompt). It reads the entire conversation and gives you a clean summary:  key decisions, action items, outstanding questions.

It pulls dates, numbers, deliverables. It doesn’t paraphrase in a way that loses meaning. And it takes about two seconds.

If you’re the kind of person who keeps email threads open in tabs as a reminder to come back to them, those days are over.

Get things done faster: Help Me Write, Suggested Replies, and Proofread

Help Me Write drafts an email from a prompt. You type something like “decline this project politely but firmly, keep it short” and Gemini writes a draft you can edit. You’re not starting from a blank page. You’re editing something that’s already 80% of the way there.

Click compose. Then click the magic wand in the bottom of the compose window. Then describe your message.

Or Click / for Help me write in the body of your email ie: the slash command.

Once you have a draft, you can refine it with one click using the icons to the right of “Describe your change”: Polish, Formalize, or Friendly. Gemini rewrites the content with a different tone. Decide which version feels most like you, or type a unique request and describe your change.

Suggested Replies are the quick-response option. Gemini reads the incoming email and offers you two or three short replies you can tap and send, or use as a starting point. These are great for the emails that don’t need a long response, but still feel like admin overhead.

Proofread. Compose a new message, address it, and enter a subject. When we enter our body text, after a few seconds, proofreading suggestions will show with dotted underlines. Press tab to improve, or Esc to dismiss.

Position your mouse over the first suggestion, then click on it to accept it. Gemini catches the kinds of things you stop noticing after you’ve been staring at a draft for too long.

Underneath this, Smart Compose is running in the background, auto-completing sentences as you type, surfacing contextual one-click replies. Simply press tab to complete the sentence.

Find anything, instantly: Cross-Ecosystem Search

This is the feature I appreciate the most – all your apps talk to each other. 

First, ensure you’ve connected your apps. Open the Gemini app > click Settings >  Connected Apps > toggle it on.

Now, Gemini in the Gmail side panel can search across your entire Google ecosystem — Drive, Calendar, and your inbox — without you ever leaving Gmail or opening a new tab.

In the Gemini side panel, hit the + button and you’ll see a “Where Gemini can search” menu. You can select any combination of Drive, Gmail, Chat, and the live web. Check the sources you want, ask your question, and Gemini searches across all of them without you leaving Gmail or opening a new tab.

You can also get more specific using the @ tag. Type @ in the side panel prompt and you can call up a specific file from Drive, your Calendar, or a Workspace Studio flow. So instead of searching broadly, you point Gemini directly at the exact thing you need.

You’re in the middle of drafting a proposal and you need to pull pricing from a specific contract? @ the file. Need to check your calendar availability without leaving the thread? @ your calendar. Need to trigger a Studio flow from the sidebar? @ the flow. It’s a small thing that makes the whole experience feel a lot more intentional.

Skip the scheduling back-and-forth: Help Me Schedule

A warm lead emails you. “When are you free for a call this week?”

When Gemini detects booking language in an email, it offers to check your calendar and suggest available times. It inserts a clean scheduling proposal directly into your reply draft. You review it. You send it. No need to open Calendar.

For busy solopreneurs, this removes dozens of tiny decisions weekly.

Invite your Custom Gem into Gmail

If you’ve built a Custom Gem — a specialized AI assistant trained on your business, your voice, your services — you can connect it directly to your Gmail side panel.

In the Gemini side-panel click the More Options menu in the top left hand corner and choose your Gem.  

What that looks like in practice: instead of opening a separate tab and pasting in email context, you work with your Gem right there inside your inbox. It already knows your brand voice, your offers, your pricing, your onboarding language. It drafts from that foundation.

One of the example prompts from Google’s announcement: “Read through the last 50 emails that I wrote and turn it into a style guide for how I write emails. Turn that into a skill called ghostwriter that gets called every time I ask you to draft emails for me.”

That’s a whole new category of automation and I want you to know it’s coming. Because it changes the ceiling of what’s possible inside the tool you’re already using.

I live in Lower West Pubnico, Nova Scotia.

Population: small. Coastline: stunning. Distance from Silicon Valley: about as far as you can get.

But right here in Nova Scotia, something remarkable is happening with artificial intelligence.

Not the usual AI hype coming out of Toronto or San Francisco. Real, practical innovation is taking shape on the ground here. As a solopreneur who uses AI every day to run a one-person business, I’ve been paying close attention.

What I’m seeing matters beyond Nova Scotia. This province is quietly building frameworks and approaches the rest of Canada will likely adopt later.

1. We’re Governing AI Without a Federal Law — And Doing It Well

Canada doesn’t have a federal AI law yet. The proposed Artificial Intelligence and Data Act (AIDA) died when Parliament prorogued in January 2025.

While Ottawa sorted itself out, Nova Scotia chose not to wait. The province leaned on its own Digital Code of Practice. A structured framework requiring public technology to be impactful, equitable, and secure by design.

They put this philosophy into action by launching “Scottie”—a public-facing AI chatbot. What makes Scottie fascinating is a deliberate values decision: it is strictly non-generative. To prevent hallucinations, it only pulls pre-verified facts from public government directories.

By making these design choices locally, Nova Scotia’s public sector is quietly writing the micro-governance blueprints that federal legislation will likely mirror someday. We are the lab.

2. Privacy Isn’t an Afterthought Here — It’s Baked In

Most AI applications send your data away to massive centralized servers, leaving you to wonder who actually sees it.

Halifax startupBegin AI, backed by Sandpiper Ventures, is building something entirely different. Their approach relies on edge computing, meaning the machine learning happens directly on your device. Your data never leaves your phone, eliminating the need for a centralized cloud.

They built this model from the ground up to meet Canada’s strict PIPEDA privacy laws. For everyday users, it proves a vital point: the “privacy vs. progress” argument is a false dichotomy. You can have powerful AI without compromising your data.

3. Making AI Green and Equitable

Running large AI models costs massive amounts of energy. While global AI tech giants focus purely on capability, Dalhousie University’s RAISE Lab, led by Dr. Masud Rahman, is focused on Green AI.

The lab studies the energy efficiency of deep learning software and develops optimization tools like CodeGreen to reduce the computational cost of running AI models. This work matters for two reasons:

• The Planet: AI’s skyrocketing energy consumption makes sustainable machine learning an environmental necessity.
• Equity: Leaner, cheaper AI models lower the barrier to entry for small businesses and solopreneurs who can’t afford enterprise-grade infrastructure.

What This Means for You

The global conversation about AI is rapidly moving past “which tool should I use?” and turning toward deeper questions: What kind of AI do we want to build? How do we protect people? How do we power it responsibly?

Nova Scotia is actively driving that conversation.

The truth about Google Workspace security for solopreneurs. And how I access client accounts without ever asking for your password.

Let me ask you something.

If you hired a contractor to renovate your kitchen, would you hand them your debit card and your PIN?

Of course not. You’d cut them a cheque or set up an e-transfer. You’d find a secure way to pay for the work without handing over unrestricted access to your entire bank account.

And yet, every day, solopreneurs hire tech consultants to “fix” their Google Workspace, and often the first thing those consultants ask for is their password.

That is not how I work. And after reading this, I hope it’s not something you’ll ever agree to again.

Your Google Workspace Account Is Your Business

Think about what actually lives inside your Google Workspace account.

Your email. Every client conversation. Every proposal, contract, and invoice. Your calendar. Your financial records. Your Google Drive – which probably contains years of deep work you couldn’t recreate if you tried.

It’s not just a login. It’s your entire business infrastructure.

When someone asks for your password, they are asking for the keys to your entire kingdom.

Here’s What Happens When You Share It

When you share your password and forward a 2FA code to an outside contractor, Google’s security systems light up immediately.

Here’s why: Google actively tracks login locations. It uses behavioural AI to flag what cybersecurity professionals call Impossible Travel. If your account logs in from your home in Nova Scotia, and two minutes later there’s a login attempt from another city, province, or country, Google knows that’s physically impossible.

What could happen next? An automated lockdown. Your account freezes for everyone—including you.

And then you have to try to reach Google support. I’ve been there, and it is not a fun experience. 

But this is the part that should make you sit up straight: you broke the Terms of Service.

⚠️ Google Workspace Terms of Service (Section 1.3a) Under Section 1.3a, you are legally responsible for maintaining the confidentiality of your password and restricting access to authorized users only.

The consequence? If your account is compromised, locked, or breached because of password sharing, Google is entirely absolved of liability.

You’re completely on your own.

Just you and a support bot that’s going to suggest you read three help articles before it even considers connecting you to a human.

The Google Workspace Security That’s Already Built In

If you’re on Google Workspace Business Standard, you are already sitting on enterprise-grade security infrastructure for roughly the price of a couple of coffees a month.

Most solopreneurs have no idea it’s running quietly in the background every single day:

• Your data stays strictly yours. Google draws a hard line between consumer and business accounts. On Business Standard, your emails, documents, and drafts stay within your private perimeter. They are never used to train public AI models. (Unlike free, third-party AI tools, which openly scrape everything you paste into them).
• AI-powered phishing defence. The days of spotting scams by their bad grammar are over—criminals now use generative AI to mimic vendors and invoices flawlessly. Business Standard runs Google’s enterprise threat detection, catching 99.9% of spam, malware, and phishing attempts before they ever hit your inbox.
• Remote wipe capabilities. Your office is wherever you are. If your phone disappears at a coffee shop or your laptop is stolen from your car, you can log into the Admin Console from any browser and remotely wipe your business data off that device—without touching your personal photos.
• Human-error safety nets. When you’re moving fast, mistakes happen. It’s easy to accidentally share a sensitive file with “Anyone with the link.” Business Standard lets you set global policies so your files default to private, blocking external sharing unless you’ve explicitly whitelisted the destination.

So How Do I Access Your Account?

Safely. Using the native tools Google built specifically for this purpose.

There are three methods I use depending on what the project requires. None of them involve your password, and none of them require you to forward a 2FA code.

Method 1: Gmail Delegation

If we’re working on your inbox—setting up filters, labels, or templates—I don’t need your password. You grant me access through Gmail Delegation, and I log in through my own secure Google account. I can see your inbox, build your filters, and organize your labels. What I cannot do is change your password, access your core security settings, or view your personal security logs. When the work is done, you revoke access with a single click.

Method 2: Scoped Drive and Workspace Sharing

If we’re building custom automation workflows or working inside your Sheets and Docs, we keep me inside my own sandbox. You create a specific folder or shared drive for the project and give me Editor access—not Owner access. I work entirely within that designated environment. When the project wraps, you remove access. I was never inside anything I didn’t explicitly need to be in.

Method 3: A Temporary User Account

When I am setting up automations inside Google Workspace Studio, I need to move safely around your backend environment. We create a project account like consultant@yourbusiness.com. It costs zero on your Google invoice. You assign that account only the permissions I’ll need for the specific project. When we’re done, you delete or suspend it. One click, the keys are gone.

Why This Matters to Me

I’ve built my entire consulting practice on the principle that your Google Workspace account—properly configured—is one of the most powerful business tools you have access to.

The last thing I would ever do is compromise it.

I treat your account the way I treat my own. That means using the right tools, following the right protocols, and never taking shortcuts that put your security at risk—even shortcuts that would make my job easier.

If you’re interviewing a tech consultant and they ask for your Google password – that’s not a yellow flag. That’s a deep red one.

It tells you they don’t know the tools well enough to use the secure alternatives. Or worse, they do know, and they don’t think your business security matters. Either way, you now know more than they’re counting on.

It’s Friday afternoon.

That’s not just any afternoon for me. It’s sacred. Three years ago, I made a decision that changed how I look at my week: I gave myself permission to take Friday afternoons off. I block them in my calendar. It’s non-negotiable. No clients. No emails. No deliverables. Systems are on DND.

Just me. And whatever I was born to do.

For me, that’s two things: create and teach. But if you’ve ever met me, you know that when I get going, it can get messy. My thoughts stumble over each other. Half-finished sentences. Ideas that make perfect sense in my head but come out… sideways.

That isn’t a problem anymore.

The “Ferrari” in Your Google Workspace

Giving myself permission to take Friday afternoons off was the best business decision I’ve ever made. Not just for the productivity, but for what it signals to your subconscious:

That your creativity matters. That your ideas are worth protected time. That you are not just an operator in your business—you are the visionary.

Most solopreneurs are so deep in the “doing” that they never come up for air. But creating – whether it’s content, systems, or offers, is what actually moves the needle. If you can’t take a whole afternoon yet, take an hour. Put it in the calendar like a client appointment. Because it is. You are the client.

Gemini will continue to evolve. It’ll launch new features. New capabilities. New automations you haven’t thought of yet.

That doesn’t mean you’ll have to rebuild everything.

On paper, my inbox is perfect.

Filters. Labels. Templates. Auto-responders. Invoices that file themselves. Gemini quietly learning which senders I always ignore. And now – a daily recap that lands in Google Chat every morning at 7am. 

By every technical metric, I am “organized.”

But I still flinch every time I hear the ping.

That notification sound, and the banner that slides in from the corner… I can feel my body brace before my brain even has a chance to process what it says. They signify tasks. Expectations, and a fear that I’m missing something important.

I’ve never been formally diagnosed, but I identify with ADD more than I can explain. The interruptions don’t just distract me – they feel almost rude. It’s like someone grabbing my arm mid-sentence while I’m finally building momentum.

By 2pm, I’d done a hundred things and finished almost none of them. Derailed. Drained. White-knuckling the day.

The System for Silence

If you’re running your business solo and this feels like your life, hear me: You aren’t disorganized. You are operating in an environment designed to hijack your dopamine.

Here’s how I stopped the spiral :

• The Daily Briefing: I used Workspace Studio to build a flow that reads my inbox at 7am. It sends me one message in Google Chat with three categories:
  1. Action Required
  2. FYI 
  3. Meetings

I know my entire day before I ever launch Gmail.

You can activate the preset in the Discover tab in Workspace Studio, in seconds. Go ahead and give it a try.

• My “Magic” Button: I turn on Do Not Disturb. It’s my favorite click of the day. My computer goes silent, it syncs to my phone and I can feel my shoulders drop. It’s like a secret room where no one can find me. I’m not hiding; I’m finally working.
• The Calendar Block: I mark Friday afternoons as “Unavailable.” No clients or calls. This is my creative space and I look forward to it all week long. And the admin tasks I usually procrastinate… I block time for that too.

Pro Tip: Stay in your flow. You can update your @calendar when you’re working in Gmail, Docs, Chat or the Gemini app without switching tabs.

The “Help Me Write” Relief (for the Perfectionist’s Brain)

If you’re a perfectionist, the inbox isn’t just a list of tasks; it’s a list of social landmines. I used to spend 20 minutes “massaging” a three-sentence email obsessing over the tone.

Now, I use “Help me write” to break decision fatigue. It knows which clients get a 🫶 and which stay strictly professional.

Stop agonizing. Hit the pencil icon, drop a couple bullet points, and let Gemini build the draft. Review, hit send, and get back to your flow.

Warrior to Warrior

The anxiety you feel doesn’t mean you’re failing. It’s cognitive overload.

It means you’ve been carrying your business in your head for so long that it has started showing up uninvited to your family dinners and keeping you awake at 2am.

You aren’t broken. Your bandwidth is tapped.

Confession: I Had a Root-Drive Problem

I’ve had my Google Drive for almost 20 years. And for two decades, I’ve been a “digital litterbug“. Dropping files on the front lawn of ‘My Drive’ because I promised myself I’d “file them later.”

If your Drive is a digital junk drawer, you aren’t alone. But in 2026, a messy Drive isn’t just a pain; it’s an AI tax. If your files are a mess, Gemini has to work harder to find your ‘Source of Truth.’ With Gemini in Drive, it was time to pay my debts and reach Drive Zero. 

First: What’s New in Google Drive

Gemini has turned Google Drive into a searchable brain that understands your business. It doesn’t just store data; it audits it.
The most impressive part is that Gemini understands context better than a folder structure ever could. You no longer have to decide if a file belongs in “Marketing” or “2024 Projects” – Gemini knows it’s both.

The “fix” isn’t about filing anymore; it’s about prompting. Instead of learning how to sort, we’re learning how to ask.

This is a step-by-step tutorial. Screenshots and copy-paste prompts included. Here’s how I purged 20 years of clutter in 30 minutes.

Let’s go.

Step 1 — The Audit: (Scanning the Junk Drawer)

The Source of Truth Search

Before you clean, let’s see what you’re up against. In the standard search bar (the one at the very top of My Drive — not the Gemini prompt bar) run the ‘Truth Search‘:  to surface what’s hiding in your root folder.

Start with this one:

is:unorganized owner:me

• Find files Drive has flagged that need a home. For me, it was thousands of Untitled Docs, random screenshots, and clones of templates I’d forgotten I owned.Tip: Use this one for your monthly maintenance too.

Then try:

• owner:me -is:starred -in:trash – Everything you own that isn’t starred and isn’t deleted. Your entire junk drawer in one view.
• older_than:1y –  Files you haven’t touched in over a year

Pro tip: You can stack operators. type:pdf older_than:2y shows you exactly which old PDFs are still sitting in root.

The Lesson: Search operators are great for a ‘Quick Look,’ but they are manual. You can find the mess and right-click to rename things one by one, but it’s still a chore. To truly ‘architect’ your Drive at scale, you need the Dashboard. This is where Gemini does the thinking for you.

Step 2 — The Command Center (The Gemini Dashboard)

“Ask Gemini” (Alpha)

Click the sparkle icon in the top right of Drive and instead of a side panel, you get a full immersive dashboard. This is where the deeper work happens.

• Ensure the ‘Let Gemini search for sources’ toggle is ON. This is the secret key that gives the AI the ‘permission slip’ to read your data.

⚠️  The Ask Gemini dashboard is for natural language only. If you type a search operator like older_than:1y in here, it will take you outside the dashboard entirely. Operators belong in the standard Drive search bar at the top of the page. More on that below.

Step 3: The Automated Triage (The ‘Magic’ Button)

The “Suggest File Moves” Button

Right at the top of My Drive. 

Once you toggle on the “Let Gemini search for sources” button in the Dashboard, Gemini now understands your root directory and a blue button appears in My Drive: Suggest file moves. This is where the manual labor ends.

Click it and Gemini analyzes approximately 20 files at a time, returning a table showing: the file name, where it currently lives, where it should go, and my favorite part – the reason why.

Review the suggestions. Uncheck anything you disagree with. Click Create and Move. Great job! You’ve tidied up. 

Continue to click “Get more suggestions.” Gemini will batch approx 20 files at a time. 

I clicked it 15 times. Each time, Gemini grabbed a batch of files and didn’t just suggest a move – it provided a ‘Reason suggested’:

• “Consolidates miscellaneous untitled files into a single folder.”

Then I finally saw it. 🎉

The Result: Drive Zero

Twenty-plus years of digital clutter. Gone. It even created an “Unsorted Documents” folder and moved every Untitled document into it automatically.

Step 4 — Architect Your Drive: Gemini Dashboard Prompts

Once Suggest file moves is done, open the Gemini dashboard (sparkle icon, top right). This is where you handle the things the button can’t like naming, folder structure, and analysis.

Double check “Let Gemini search sources” is toggled on. Then try these:

Get a folder structure built around your actual business

“Analyze the files in my root Drive and suggest a folder structure based on my active projects and business categories.”

Here’s what Gemini returned for me:

Agentic Drive: Gemini sorts the “emergency” current files from the “healthy” archives so you can focus on what matters.

Bento Box Framework: This isn’t just “AI Search.” It’s an Agent that can take action (moving, creating, summarizing) across your whole system.

Contextual Citations: These are the little numerical “receipts” Gemini gives you. They prove the AI isn’t hallucinating; it’s literally showing you the work it did to categorize that file.

Fix the unnamed files

“Look at files with generic titles like ‘Screenshot’ or ‘Untitled.’ Suggest new names based on what’s inside them.”

Gemini reads inside the files, summarizes the content, and returns a table: current name, content summary, and suggested name. It also flags empty files and notices patterns — like “You have a lot of Admin screenshots. Want me to suggest a folder for those?”

Note: Gemini won’t rename your files. Instead, it creates a Suggested Renaming Guide.

Export to Docs button at the bottom lets you save the full renaming plan as a Doc so you can easily action it.

Step 5 — Save as a Project: Shortcut to Your WIP

Here’s the distinction that changes how you work:

A folder is where you store things. A Project is where you work on things.

Same files. Zero reorganizing. You just create a Project view that surfaces only what you’re working on right now. It eliminates the “click-fatigue” of clicking through four folder levels every time you start work. Just open your Project and Gemini already knows the goal, the branding, and the context.

To create a Project:

1. From the Gemini dashboard: add your sources, then click Save as a project (top right). That’s it.

2. From My Drive: click Projects in the left sidebar, then Create a project

3. Add files and folders from Drive, or sources from Gmail

4. Once created you can ask Gemini questions about your files and the button changes to Share, so you can give a VA or contractor access to exactly what they need, nothing more

Step 6 — The Maintenance Dance 💃

Here’s the part you shouldn’t skip. Most people will clean it up, feel like a million, and six months later – it’s a junk drawer again. The fix is a system.

Paste this prompt into the Gemini dashboard:

Set up your monthly Maintenance Dance

“Create a recurring Google Task and a 90-minute calendar event on the first Friday of every month called ‘Google Drive Maintenance Dance.’ Include these steps in the calendar description: 1. Run is:unorganized owner:me in the Drive search bar — see what dropped this month. 2. Hit Suggest file moves in My Drive.”

Gemini creates both the Task and the Calendar event — and embeds your checklist directly in the calendar description. You never have to look it up again.

The History tab in the Gemini dashboard saves every conversation. So next month when you come back for maintenance, you pick up exactly where you left off.

The Bottom Line

You don’t need a perfect folder structure. You don’t need to spend a Saturday on this. You need one afternoon, a blue button called Suggest file moves, and a recurring appointment with yourself.

After 20 years of accumulation, I finally reached the promised land. My root directory is empty, my templates are filed, and  a Drive that now knows my business well enough to name my files better than I did.

Clean Drive. Clear head. Let’s go.

While the future of Drive is here, it is currently arriving in stages. Many of the features I’ve demonstrated including the immersive Gemini Dashboard and Agentic Drive capabilities are currently in Alpha or Beta release.

• Who has it now: They’re rolling out first to Google Workspace accounts with active Gemini Business, Enterprise, or Education add-ons.
• What to check: If you don’t see the “Sparkle” icon in the top right of your Drive, ensure your admin has enabled Gemini extensions and that the “Let Gemini search for sources” toggle is available in your side panel.
• The Timeline: Google is famously iterative. If you don’t have the full dashboard yet, keep your standard search operators (Step 1) handy, they work for everyone, regardless of your plan.
